View Warehouse Transfers

Create, import, review, and export Warehouse Transfers

The Warehouse Transfers page provides an overview of the Warehouse Transfers that have been created in your account, allows you to add and import new transfers, or export the current view into a CSV, PDF or XLSX format.


At the top of the Warehouse Transfers page, there are three functional buttons available:

  • Export: Downloads the current view of the Warehouse Transfers page in either a PDF, CSV, or XLSX format.

  • Import: Opens the Import Warehouse Transfers page, through which you can create Warehouse Transfers in bulk using the CSV Warehouse Transfers template.

  • Add: Opens the Add Warehouse Transfer page, allowing you to create a new Warehouse Transfer from scratch.


Review your Warehouse Transfers

For an overview of the Warehouse Transfers that have been created in your account, from the main menu, go to Inventory > Transactions > Warehouse Transfers. You'll then be directed to a page that, by default, will list all Parked (open) Warehouse Transfers currently, in descending Transfer Date order.

Use the filter fields available at the top of the Warehouse Transfers page, described in the table below, to specify which Warehouse Transfers should be displayed, making it easier for you to review and update the Warehouse Transfers that need it.

Description

Status

A drop-down menu to filter by the current status of the Warehouse Transfers. The Status drop-down menu includes the following options:

  • Open: Warehouse Transfers with Parked status.

  • Parked

  • Completed

  • Deleted

  • All: Stock Adjustments with either Parked, Completed, or Deleted status.

Transfer Number

A free text field that will filter Warehouse Transfers to only show those that include the text in the Transfer Number.

Source Warehouse

A drop-down menu to filter by which warehouse the transferred stock is coming from.

Destination Warehouse

A drop-down menu to filter by which warehouse the transferred stock is going to.

Transfer Date Range

Select a date range to filter for Warehouse Transfers with a Transfer Date within the period.

Warehouse Transfers column descriptions

The fixed columns displayed in the Warehouse Transfers page provide an overview of the Warehouse Transfers that exist in your account. The details displayed per Warehouse Transfer are described in the table below.

Description

Transfer Number

Displays the Warehouse Transfer's unique transaction number. Click on the Warehouse Transfer's Transfer number to open the Warehouse Transfer.

Transfer Date

Displays the date the Warehouse Transfer was created.

Source Warehouse

Displays the warehouse the transferring stock is coming from. Click on the source warehouse to open the warehouse's settings.

Destination Warehouse

Displays the warehouse where the transferring stock is going to. Click on the destination warehouse to open the warehouse's settings.

Comments

Displays any notes that have been added to the Warehouse Transfer's Comments field.

Transfer Status

Displays the Warehouse Transfer's current status, either Parked, Completed, or Deleted.

Action

Displays an action cog icon that allows you to select one of the following options:

  • Email Source

  • Email Destination

  • Print


Email and print Warehouse Transfers

Through the action cog displayed per Warehouse Transfer, in the Warehouse Transfers page, you have the option to either print or email a PDF copy of the Warehouse Transfer. Where the Doc Designer template selected within the Warehouse Transfer will be used to generate the transaction's PDF document. You can update which template is used at any time, including after the Warehouse Transfer is completed, by choosing an alternative in the Warehouse Transfer's Template menu.

When either the Email Source or Email Destination option is selected from the action cog, an "Email Transfer" window will be shown, and from here, you will need to confirm that the appropriate contacts and message content have been populated before sending. The To field will populate the email address provided in the source or destination warehouse setting. You can add further recipients by typing their email addresses into either the To or Cc fields, and use the x icon on any populated recipients to remove them from the email.

The email's Subject line will automatically populate with the following format: Warehouse Transfer: {Transfer Number} From {Source Warehouse} to {Destination Warehouse}, and the email's Body will be blank, but you can edit and update the subject and body content before sending.

Whilst a PDF version of the Warehouse Transfer will automatically be attached to the transfer's email, you can include additional attachments using the Attach Files button in the Email Transfer window. When you click on Attach Files, any documents or files attached to the Warehouse Transfer or products of the Warehouse Transfer will be available to select and attach to the email.

Finally, before clicking Send in the Email Transfer window, you can use the "Send me a copy" checkbox to send yourself a copy of the Warehouse Transfer email, using your user's email address.
