After selecting Add Count in the Stock Counts page, found under Inventory > Transactions > Stock Counts, the Create Stock Counts page will open. The Create Stock Counts page allows you to outline the parameters of your next Stock Count, ensuring your stock-take process is efficiently completed and updates the appropriate product's Stock On Hand (SOH) accurately.

For a user to be able to create a Stock Count, they must have the "Stock Count Entry" permission granted in their user role.

Creating a Stock Count
Depending upon your reason or purpose for conducting a stock count, two types can be created. You can either create an empty stock count, where you start with a blank Stock Count and enter the product and count quantity as you go, or a pre-populated stock count, which lists all products that fit a certain criteria, and you advise a count quantity for all listed.
๐ Note: Purchase Orders (PO) cannot be receipted or completed if a product on the PO is currently on a Stock Count with In Progress status, for the same warehouse as the PO.
๐ค Tip: Do not process any stock movement transactions, such as Shipments or Assemblies, in a warehouse where a Stock Count is currently In Progress, to ensure the count quantities entered are accurate.
Create a pre-populated Stock Count
If you know which products or subset of your warehouse's inventory need to be counted, use the filter fields displayed at the top of the Create Stock Counts page to create a pre-populated Stock Count.
Create Stock Count field name | Description |
Stock Count Name | Enter a custom Stock Count Name that will help you to identify this Stock Count in the future. This is an optional field and can be left blank. |
Warehouse | Use the drop-down menu to select which warehouse the stock count is being conducted in. This is a required field, where only one warehouse can be selected. |
Supplier | Enter a supplier's code or name and select it to only populate products with this supplier as their default supplier in the product records. Supplier is an optional field and can be left blank. |
Bin Location | Use the partial match free text field to filter the Stock Count for products with bin locations that include the entered text, based on the selected warehouse. Bin Location is an optional field and can be left blank. |
Product Group | Use the multi-select drop-down menu to populate products based on their Product Groups and Sub Groups. Product Group is an optional field and can be left blank. |
Product Brand | Use the multi-select drop-down menu to populate products based on their Product Brands. Product Brand is an optional field and can be left blank. |
Accounting Code | If integrated with an accounting provider, use the drop-down menu to select which Cost of Goods Sold (COGS) account the Stock Count will export to upon completion. |
The products that meet the filter criteria set on the Create Stock Count page will be listed in the grid layout, below the filter fields, with the following product details:
Product Code
Product Description
Product Group
Product Sub Group
Product Brand
Bin Location
Unit of Measure (base)
Pack Size
Count Quantity (current SOH)
By default, only products in your account with SOH greater than zero for the selected warehouse will be populated. Tick the "Include products with no stock" checkbox in the top right corner of the Create Stock Counts page to also include products that have zero SOH in your Stock Count's product list.
Create an empty Stock Count
If you want to conduct a blind Stock Count or only count certain products that fall outside of the filter fields available, select a warehouse from the drop-down menu displayed and then tick the "Create empty stock count" checkbox in the top right corner of the Create Stock Counts page. No products will then be listed in the grid layout.
You can advise a Stock Count Name and Accounting Code, if necessary, in the appropriate fields. Then, when you click Create Count, a blank Stock Count will be created, on which you will need to manually add each product and count quantity to update your selected warehouse's SOH upon completion.
Create Count
When you click on Create Count in the top right corner of the Create Stock Count page, a new Stock Count will be created with a unique, auto-generated Stock Count number, and it will be saved with the In Progress status. All products listed in the Create Stock Count page will be listed in the new Stock Count, but you can add, update, and remove Stock Count Lines until the Stock Count is in Completed status.
๐Note: Once a Stock Count is In Progress, the Stock Count Name cannot be edited, and the selected Warehouse cannot be changed.
