Project Roles: Owner, Editor, and Viewer

Overview

Project roles control what each member can see and do within a specific project. They are separate from account-level roles and can be assigned independently — any workspace member can be a project Owner, regardless of their account role.

Owner

The project Owner has full control over the project. They can read, write, and delete content, manage all members at any level, and transfer ownership to another workspace member. Every project has exactly one Owner.

Best for: The team member responsible for the project — typically whoever created it or is accountable for its delivery.

Editor

Editors can view and modify project content. They can also invite new members as Editors or Viewers, and remove members who are below their own level. They cannot promote anyone to Owner, delete the project, or transfer ownership.

Best for: Active collaborators who contribute to the project regularly and need to bring in colleagues without routing every invitation through the Owner.

Viewer

Viewers have read-only access. They can follow progress and review content but cannot make any changes or invite others.

Best for: Stakeholders, clients, or colleagues who need visibility without editing rights.

How invitations work

Both Owners and Editors can invite new members to a project, but with one constraint: you cannot grant more access than you have. An Editor can invite someone as an Editor or Viewer — but not as an Owner. Only the project Owner can assign ownership or promote a member above Editor level.

This keeps collaboration frictionless while ensuring escalation of privilege always requires deliberate action by the Owner.

How project roles relate to account roles

Project roles are independent of account roles. A workspace member with a basic account role can be the Owner of a project, while an account Admin may only be a Viewer on that same project — unless they are added with a higher role.

Account Admins and Owners can always view and manage all projects in the workspace, regardless of their assigned project role.

How to invite a member to a project

  1. Open the project and go to Members.

  2. Click Invite Member and enter the person's email address.

  3. Select a role: Editor or Viewer (Owners can also select Owner).

  4. Click Send Invitation.

How to change a project member's role

  1. Open the project and go to Members.

  2. Find the member whose role you want to change.

  3. Click the role dropdown next to their name and select the new role.

Owners can change any member's role. Editors can change roles only for members below their own level.

Frequently asked questions

Can a project have more than one Owner? No. Each project has a single Owner. Use the Transfer Ownership option to hand over control.

Can an Editor remove another Editor? No. Editors can only remove members who are below their own level, meaning Viewers only. Removing another Editor or the Owner requires Owner rights.

What happens if the project Owner leaves the workspace? Ownership must be transferred before the Owner's account is removed. Account Admins can reassign ownership if needed. Contact support if you are locked out.
