Setting Up Automated Communication and Email Templates

Learn how to configure automated emails and notifications to keep participants and judges informed

I. Accessing the Messages Tab

  1. Access Your Program: Navigate to the Programs tab in your Platform, select your Program title, and click “Manage.”

  2. Select the Tab: Click on the "Messages" tab at the top of your program management page.

II. Automated Notification Templates

The Messages Tab provides pre-configured templates that correspond to specific actions or statuses within the program.

Key Automated Messages

Participant Invitation

Sent when a participant is invited from the Participants tab to apply,

Program Participation

Sent when a participant click Apply Now and starts a draft.

Participant Submission

Sent to confirm when a participant submits their application.

Judge Invitation

Sent when a judge is invited from the Judges tab.

Judge Assignment

Sent when a judge is assigned submissions for evaluation.

Judge Re-evaluation

Sent when a judge is asked to re-evaluate a submission.

Disqualification Notice

Sent when a participant is disqualified from the program.

Winners Announcement

Sent to participants with at least one qualified submission.

Template Customization Tips

  • Each template is fully customizable. Click on a message type to edit the text and add personalized details to ensure consistent communication.

  • Use Short codes (placeholders like [user-name]) to automatically insert personalized data into emails. This ensures each message feels tailored without manual editing.


III. Managing Message Delivery

Auto-Send Options

  • You can uncheck the auto-send message option for specific criteria or templates.

  • If auto-send is disabled, new emails triggered by program activity will be marked as pending.

  • You can manually send these pending emails later by selecting the "Send to Pending" option, ensuring participants still receive important updates.
