Inventory

Whether it's retail products you're selling to customers or consumables (products used while performing services), add them on your Products/Services page and track them on your "Inventory" page.

Inventory Page

  • Each product will have four (4) metrics

    • Current Quantity

      • flexible number displaying the current quantity of this product that you have on hand

      • when shipments are delivered, this number should be edited to reflect the new quantity

      • as these products are sold or used in performing your services, the current quantity will automatically decrease based on how much was sold or used

      • products/consumables are calculated/deducted when job is marked "Completed" or when order is marked "Fulfilled"

    • Reorder Threshold

      • allows you to set when you'd like to be notified if your supply of a given product is running low (consider delivery timelines to avoid outages)

      • once the current quantity matches the reorder threshold, a notification will be sent out to those that have the notification preference turned on letting them know that you are running low on that product

    • Projected Quantity Needed

      • will display the amount of each product that will be required to perform the services that will be coming up within the selected date range

      • this date range will default to the upcoming week but this can be changed by clicking at the top of the page

    • Cost (Acquisition)

      • what it costs you to acquire that product

      • this can be set up with units (either ml or square feet) to make calculating the acquisition cost and the quantity needed in performing services a little easier

COLOR CODING OF THESE METRICS:

  • if the current quantity is greater than the reorder threshold, the current quantity number will appear in green (no need to reorder just yet)

  • if the current quantity is less than the reorder threshold, the current quantity will display in red (running low....time to place an order for this item)

  • if the projected quantity needed is less than the current quantity, the project quantity needed number will appear in green (you are good to go for the upcoming week)

  • if the projected quantity needed is greater than the current quantity, the projected quantity needed will appear in red to bring your attention to the fact that you do not have enough product on hand to complete the jobs on the schedule for the upcoming period of time (must order more product)

NOTE:

  • The "Projected Quantity Needed" is based on the Consumables you set up in your services on the Products/Services page

  • Products are added and deleted on your Products/Services page and the quantities are tracked and edited on your Inventory page (these two pages are linked)
