Working with vendors in Vantage

What vendors are, how they connect, and what they can see in Vantage.

Vendors are external companies you subcontract work to. Unlike your internal team, vendors are not users inside your workspace; they have their own separate Vantage workspace, linked to yours.

When you assign an event to a vendor, it appears in their workspace, and they manage their own crew from their side.

How the connection works

When you invite a vendor, Vantage creates a connection between your two workspaces. From that point:

  • You can assign events to them from your dashboard or Schedule

  • They see only the events assigned to them — nothing else in your workspace

  • They manage their own team, locations, and documents from their side

  • You never see their internal workspace, and they never see yours

Two ways to work with vendors

Every workspace can invite vendors and assign them to events. The Vendor Management module is an add-on module that unlocks onboarding and vetting, document tracking, invoicing, and quality checks.

FAQ

Do vendors count against my seat limit?

No. Vendors have their own separate workspace and their own seat count. Connecting a vendor to your workspace does not affect your seat limit.

Can a vendor see my client details?

No. Vendors only see the events assigned to them. They never see client names, contact details, or anything else in your workspace beyond the event information you share with them.

Can I work with a vendor who does not use Vantage yet?

Yes. When you invite a vendor by email, Vantage walks them through creating their own workspace. They do not need an existing Vantage account before you invite them.
