How to Manage Inventory on The Oblist

Keep stock accurate in the vendor dashboard so buyers see the right availability on the platform and you avoid fulfilment issues.

1. Where to update inventory

  1. Sign in at https://pro.oblist.com (current vendor dashboard—not trade.oblist.com).

  2. Open Products in the sidebar.

  3. Open the product you want to change (from the grid, go to the product editor).

Inventory is controlled in the Price & Inventory area of the form, together with How do you manage inventory?*


2. Choose how inventory behaves

Under How do you manage inventory?* you pick one of two modes (exact wording on screen):

I manage a fixed stock quantity

You sell from a finite count. You must maintain accurate quantities.

This item is made to order

The piece is produced after an order. Not available when the condition is Vintage Item.

Fixed stock

  • Simple product (no variant quantities): set Quantity* to the number of units available. Use 0 when nothing is available to sell under normal rules.

  • Variants with quantity management: quantities are set per variant option; the UI explains that total stock is calculated from those options—update the options that actually changed.

  • Allow purchase when out of stock: optional checkbox (fixed stock only). Only enable it when you deliberately want purchases to remain possible at zero quantity.

On the Products list, fixed-stock items show Available Qty: N; when quantity is 0 (and you are not in made-to-order mode and have not allowed purchase out of stock), you will see a Sold Out badge on the card.

Made to order

Made-to-order products are labelled Made to order on the product list instead of a finite “available qty” line. They are configured so the platform does not treat them like a simple “units on shelf” SKU. You still keep other fulfilment fields accurate (lead times, etc., elsewhere in the form).


3. What happens when you save

  • Your changes are stored on The Oblist when you save the product.

  • For approved listings, stock and stock-related settings are treated as operational updates: the platform queues a sync to the public catalogue (typically on the order of seconds under normal conditions—not a manual batch job).

  • Very recent manual stock edits can be briefly protected from being overwritten by automated inventory pulls, so that rapid corrections are not instantly reversed. If two sources disagree (for example your Shopify store and Oblist), follow the guidance in your Shopify Sync Hub and support.

So: updates are fast, but “instant” can vary by a short delay or sync retries if the system is busy or correcting a conflict.


4. Low stock and out of stock

  • Setting quantity to 0 (when fixed stock and “allow purchase when out of stock” is off) marks the item as not available to buy in the usual checkout flow.

  • When stock drops from above a low threshold to three units or fewer, or when it goes from in stock to zero, the platform can send email notifications to your vendor contact address so you can restock or adjust listings. (Exact wording of the email may vary.)

If you use Shopify with Oblist, inventory can also move from webhooks or sync jobs; always confirm the number shown on the Oblist product after external changes.


5. If you use Shopify Sync

When your store is connected (Shopify Sync Hub), stock levels may be imported and kept in sync with your Shopify catalog according to your setup. You can still edit quantities from the Oblist product page when allowed; conflicting rules are best sorted with vendors@oblist.com if something looks wrong after a sync.


6. Good habits on the platform

  1. Review products regularly, especially before campaigns or press.

  2. Use 0 for fixed-stock items that cannot be shipped, unless you have a deliberate reason to use Allow purchase when out of stock.

  3. Match mode to reality: fixed stock for ready pieces, made to order only for true MTO workflows.

  4. After bulk changes, spot-check a few SKUs on the live product page once sync has run.

  5. Holiday mode: if your account pauses selling, product availability on the platform may change regardless of raw quantity—check Account → Holiday Mode when diagnosing “can’t buy” issues.
