πŸ“Œ What is an RFQ?

A Request for Quotation (RFQ) is a formal request that you can raise in your vFulfill account to get the best landing cost, lowest possible MOQ options, lead time to inward the stock and to explore private labelling options.

This is done to ensure that you know the final landing cost inclusive of all charges like product buying price, customs duty & freight β€” before you decide to source the same product.

Before we dive in, let's understand a few terminologies :

Term

Description

πŸ“¦ MOQ (Minimum Order Quantity)

The minimum number of units to source, starting at 100 units at vFulfill.

🚚 Landing Cost

Total cost per unit, including product price, shipping, duties, and handling β€”basically, what it costs to get the product from the supplier to the vFulfill warehouse.

⏳ Lead Time

Time to source and deliver the product to the warehouse after order approval. It can vary based on location and customization.

🎨 Custom Products

Products made for your brand (e.g., custom logos/packaging), requiring higher MOQs and longer lead times.

Quote Success Indicator

The more complete your RFQ, the better the chances of a quick, accurate quote.

πŸ€” When Should You Submit an RFQ?

Now that you're familiar with the important terms, let’s talk about the situations where you can submit an RFQ.

  1. πŸ’° To know the pricing and details of any product that isn't listed in our vFulfill catalog.

  2. 🌟 To source custom or branded products that are tailored to your specific business needs.

  3. πŸ”„ To re-confirm a landing cost mentioned on any product's page in vFulfill.

TIP: Any cost that has NOT BEEN updated in the last 10 days, we recommend you to raise an RFQ before you go ahead & source the same. Due to market dynamics, the cost today might be much lower than the mentioned cost which is 10 days old

πŸ“Š RFQ Limits Based on Plan

Depending on your plan, the number of RFQs you can raise each month will vary. Here's a quick look:

Plan

Monthly RFQ Limit

πŸ†“ Free

1 RFQ per plan duration

🚚 Mover

3 RFQs per month

πŸš€ Shaker

10 RFQs per month

🌍 Earthquaker

30 RFQs per month

Important :

βœ”οΈ Unused RFQs do not carry over to the next month.
βœ”οΈ RFQs reset on the 1st date of every month.

πŸš€ How to Submit an RFQ at vFulfill

Depending upon whether the product is already in our vFulfill catalog or not, there are two ways to raise an RFQ. Let’s take a look at both.

a) To know the updated price of products available in vFulfill's catalog

You can use this way - when the product is already in the vFulfill catalog, but you’d like a fresh quote as the last updated price is more than 10 days, or you need updated information like lead time, MOQs , etc.

Step 1: In your vFulfill account, Click on the Products >> select, Product Research.

Step 2: Use the product name or ID to search within the vFulfill product catalog. Once found, click on the Explore Product button.

Step 3: On the product details page, click on the Get Updated Quote button. This will open a pre-filled RFQ form for you to customize.

Step 4: Fill in all the form. (check sample RFQ in the last section of article)
Click on the Submit Request button to submit.

Once submitted, your request will be reviewed and responded to within the relevant RFQ Turnaround Time (TAT).

b) To know the price of any product not listed in vFulfill's catalog

You can use this way - when you want to know the price of a new product or need a custom/branded version of a product not available in the catalog.

Step 1: In your vFulfill account, click on the Sourcing tab >> select Request for Quotation.

Step 2: Next, The RFQ form will appear. Fill it out with as much detail as possible to help us provide the most accurate and timely quote.

Once you’ve completed the form, click the Submit Your Request For Quote button to submit.

After submission, your RFQ will be reviewed and responded to within the relevant RFQ Turnaround Time (TAT).

That's a wrap for this article. By submitting an RFQ, you’re making sure you have the right infoβ€”cost, availability, and lead timeβ€”before you start sourcing. It helps you plan smarter, avoid surprises, and move fast when needed.

πŸ“˜ What’s Next?

Once you’ve submitted your RFQ, here are the next steps you may want to explore:
