๐Ÿš› Orders Section Overview

Understand where to find new, processing, closed, or unplaced orders across different tabs

Once you're ready to start placing your orders with vFulfill, the Orders section is where everything begins.
โ€‹
This is your command center for managing the full order lifecycle - from the moment an order is synced from your store, to fulfillment, and even post-delivery status.

Your vFulfill account organizes every synced order by its current status - so you always know what stage itโ€™s in and what action is needed.

Hereโ€™s a complete breakdown of all the 5 subsections and their tabs inside them.



1. Open Orders โ€“ Start Here to Place Your Orders

This is where all your newly received store orders appear once they sync with your vFulfill account. The goal of this section is to help you review, verify, and place the orders to vFulfill.

It contains several helpful tabs, each representing a specific state in your pre-fulfillment workflow:

Usage

  • Open ๐Ÿ“จ

All new orders that are synced from your store will show up here - ready for action.
โ€‹
โ€‹Take action: Place order, Move to Calling, Mark Do Not Fulfill, Cancel, etc.

  1. View complete order details like shipping info, customer name, products ordered, etc.
    โ€‹

  2. Review and edit address, product mapping, quantity, or variants.
    โ€‹

  3. Add internal tags (e.g., High Value, Test Order) for tracking.

  • Calling ๐Ÿ“ž

You can move orders for confirming the details from Open to Calling if:

1. You or your team is trying to reach out to the customer for confirmation.
โ€‹
2. You suspect a suspicious address or want to double-confirm COD orders.
โ€‹
3. Once the confirmation is done, you can proceed to place it.

  1. This tab acts as a holding area for orders that need customer interaction.
    โ€‹

  2. It helps you avoid placing risky or unconfirmed orders while youโ€™re still verifying with your buyer.

  • Verified โœ…

Once you've spoken to the customer and verified all order details, you can move the order to this tab.

  1. This is helpful when you're batching orders and want to separately keep verified ones for easy placement.
    โ€‹

  2. It's also useful when multiple team members are handling order checks - one person can verify, another can place.

  • On-Hold โธ๏ธ

Mark the order as On-hold that you intentionally want to pause or delay, maybe due to stock unavailability, payment issues, or any other temporary reason.

  1. Orders stay in this tab until you decide to act on them.
    โ€‹

  2. You can Unhold them whenever youโ€™re ready to proceed.

  • Do Not Fulfill โŒ

Mark the order as Do Not Fulfill when you receive an order that:

1. Is a test order

2. Needs to be fulfilled outside vFulfill
โ€‹
3. Was mistakenly placed on the store

  1. Marking it as Do Not Fulfill will exclude it from the vFulfill process, but it will remain in your system for record keeping.

  • Not Linked ๐Ÿ”—

If an order is synced but is not linked to a matching product in the vFulfill product catalog, it lands here.

๐Ÿ‘‰ Once linked, the order will automatically move back to the Open tab, ready for placement.

  1. Click โ€œLink Productโ€ for each order.
    โ€‹

  2. Select the correct/matching product from the vFulfill catalog and link it.

This tab is a consolidated view of all the orders across the above tabs that are yet to be placed to vFulfill.

  1. Use this tab if you want a quick, unified view of everything pending so you can place them in bulk if needed.

โœ… Once you're done verifying, go ahead and Place the Order to vFulfill

2. In-Processing Orders โ€“ Orders Under Fulfillment

This section shows all the orders that youโ€™ve already placed to vFulfill.

Description

  • In-Processing ๐Ÿ› ๏ธ

As soon as you confirm and place an order, it moves here.
โ€‹
This means:
โ€‹
โ€‹1. Our team has started working on it. Packaging and dispatch processes are in motion.
โ€‹
2. You can keep track of the processing status, but cannot make edits anymore since the order is now locked for fulfillment.



3. Closed Orders โ€“ Fulfillment Completed or Stopped

This section contains all the orders that have reached a final state - whether fulfilled, returned, or intentionally not processed.

  • Delivered ๐Ÿ“ฌ

All orders that were successfully delivered to the customer will show up here.

  • Returned ๐Ÿ”„

Orders that were marked RTO (Return to Origin) and received back at our warehouse show up here.

  • Cancelled ๐Ÿ›‘

Orders that you cancelled before placing them to vFulfill show up here.
โ€‹
These are usually mistaken orders, rejected by the customer, or simply ones you didnโ€™t want to ship.

  • Do Not Fulfill ๐Ÿšซ

Orders that you marked โ€œDo Not Fulfillโ€ (either from Open or earlier stages) are listed here - kept for record purposes.

  • All ๐Ÿ“š

This is a combined view of everything above - delivered, returned, cancelled, and do not fulfill.

Use this for analytics or bulk record-keeping.



4. All Orders โ€“ Everything in One Place

This is a master view that combines all orders across every subsection (Open, In-Processing, and Closed).

Description

  • To Be Fulfilled ๐Ÿงพ

All orders that have not been placed to vFulfill yet.
โ€‹
This includes orders across Open, Verified, On-Hold, Not Linked, and so on.

  • In-Processing ๐Ÿ› ๏ธ

Orders already placed and are being packed - pulled from the In-Processing section.

  • Closed ๐Ÿ“š

Orders that are delivered, returned, cancelled, or marked Do Not Fulfill.

This section is great when you want a full overview without switching between different subsections.

5. Orders Summary โ€“ Visualize Your Order Flow

This section gives you a visual flowchart and summary count of your orders across different stages.
โ€‹


Youโ€™ll see ๐Ÿ“Š:

  • How many are synced

  • How many are not linked

  • How many are placed

  • How many are in processing

  • How many are delivered or returned

This is a quick and clear way to understand your overall order health and spot bottlenecks (e.g., too many unplaced or returned orders).
