🧾 Order-Level Information

Learn what each part of the Order Details Card means and how to use it effectively

Every order listed inside the Order Tab comes with a complete snapshot of details you need to review and act.

These order-level details are visible in every tab inside the Orders section, ensuring you have quick access wherever you are.

Here's a breakdown of what you’ll find in each order card:



1. Order Details 🔹

Displays key system-generated and basic identifiers:

  • vFulfill Order ID – A unique ID assigned once the order is placed to vFulfill.

  • Store Order ID – The original order ID from Shopify or your connected store.

  • Payment Type – COD, Prepaid, or Partial COD, depending on the customer’s selection.

  • RTO Risk Indicator – A color-coded risk tag (Red/Yellow/Green) indicating the likelihood of return.

Usage:

  • Use RTO Risk to identify high-risk orders early.

  • Match vFulfill and Store Order IDs when troubleshooting or verifying details.



2. Customer Information 👤

Includes complete customer details:

  • Full Name

  • Email ID (if synced from store)

  • Phone Number

  • Shipping Address – Street, City, State, Pincode, and Country.

Handling incomplete address:

  • If the address is incomplete, an Attention Required alert will appear.

  • You can edit the address directly using the edit icon.



3. Product Details 📦

Provides item-level order details:

  • Product Name(s)

  • Quantity per item

  • Selling Price (per unit and total)

  • Variants or Attributes (e.g., size, color)

Partial or Item-Level Action:
If a customer requests cancellation of a specific item (not the entire order), simply:

  • Select the item using the checkbox next to it.

  • Take the relevant action – place partially or cancel that item.



4. Order Status 🚦

Shows the current journey stage of the order:

  • Open – Yet to be placed to vFulfill

  • In Processing – Already placed to vFulfill

  • Shipped / Delivered / RTO / Cancelled – Based on delivery outcome

Usage: Apply status-based filters to monitor orders in specific stages (e.g., “Shipped” only).


5. Order Tags 🏷️

Helps in sorting and categorizing orders.

  • System Tags (auto-generated by vFulfill or third-party tools like Shopify):

    • Fastrr, Verified, Low RTO

  • Manual Tags (applied by your team):

    • High Value, Test Order, Priority, etc.

  • Use tags to group and revisit specific order types quickly.

  • Add tags via +Update Tag to highlight special handling or priority.



6. Order Timeline 🕓

A log of all system and manual actions:

  • When order synced to vFulfill

  • When verified, edited, or placed

  • When delivered or marked RTO

Usage: Reference timeline for troubleshooting delays or confirming status updates.



7. Remittance Status 💸

Shows whether COD payments have been settled:

  • Settled – Payment credited to your wallet.

  • Not Applicable – Payment pending per cycle or order is RTO.

Usage: Use for reconciliation and financial tracking.



8. Order Notes 💬

Allows adding internal notes to orders:

  • Special handling instructions

  • Customer issues or comments

  • Any internal reference notes

  • These are visible only in your workspace, not to customers. Document special handling requests or follow-ups directly in the order card.

  • You can add a note just by click on Add note button.



9. System Logs ⚠️

Tracks who performed actions and when:

  • Order placements

  • Cancellations (by your team or vFulfill for unserviceable orders)

Usage: Use for accountability and process tracking across team members.

10. Duplicate / Repeat Orders 🔄

This Highlights:

  • Customers placing multiple orders at once.

  • Repeat buyers for your store.

Usage: Verify duplicate orders with customers before processing them to avoid errors.


11. Take Action 🎛️

Located at the end of each order card, enabling:

  • Placing the order

  • Cancelling the order

  • Move to Calling / On-Hold / Do Not Fulfill

Usage: Take action to process orders with just one-click from here.



⚙️ Customise Display Preferences

This feature allows you to control how your order details are shown, so you see only what matters most to you.

How It Works:

  1. Click the “Preferences” button at the top-right corner of the Orders page.


  2. Rearrange Order Card Sections:

    • Drag and drop headers to set the sequence of information.

    • Example: Move “Remittance Status” above “Order Tags” if payments matter more to you.


  3. Save Your Preferences:

    • Assign a custom name (e.g., “COD Focus” or “Inventory View”).

    • Switch between different saved views anytime.
