How to Create an Informative Check-In Guide for Your Guests

Set your guests up for a smooth, stress-free arrival

Updated over 2 months ago

A clear and detailed check-in guide is one of the most important tools for ensuring a great first impression. Whether your guest is arriving after a long shift or traveling from out of state, having all the information they need ahead of time makes for a more welcoming and professional experience.

📬 What to Include in Your Check-In Instructions

Here’s a recommended checklist to cover in your guide:

🗓️ Arrival Information

  • Check-in date and time

  • Address of the property (with building/unit number if applicable)

  • GPS-friendly directions or landmarks

  • Parking instructions (assigned spot, street parking, garage access, etc.)

🔐 Entry Instructions

  • How to access the unit (lockbox, smart lock, or door code)

  • Lockbox code or digital access code (with any keypad quirks or timing notes)

  • Photo or diagram of the entry setup (optional but highly recommended)

  • Backup access plan (in case code doesn’t work)

🛋️ Inside the Unit

  • Location of light switches, Wi-Fi network & password

  • Where to find essentials (towels, extra sheets, trash bags, etc.)

  • Any important appliance instructions (e.g., how to use the thermostat or laundry)

📞 Contact Info

  • How to reach you (or your co-host/property manager) during their stay

  • Emergency contact instructions if you are unavailable

✏️ Tips for Making Your Guide Clear and Guest-Friendly

  • Use short paragraphs or bullet points

  • Avoid long blocks of text

  • Include photos when possible (especially for entry or parking)

  • Send the guide at least 24–48 hours before check-in

  • Save a copy in your listing or pin it in your guest message thread

🌟 Bonus Tip: Add a Welcome Touch

Consider including a brief welcome message or local recommendations (like the nearest grocery store, coffee shop, or hospital) to make your guest feel at home from the start.

Remember: A smooth check-in process sets the tone for the entire stay. When guests know exactly what to expect, they’re more likely to have a positive experience—and leave a great review.
