Welcome to the Activity section of Viewcy's Business Tools! The Activity feed provides a real-time log of all actions related to your organization, allowing you to monitor engagements and manage your events more effectively.

Overview

The Activity tab within the Reporting section provides a comprehensive feed of all activities associated with your organization. This includes ticket purchases, event registrations, refunds, and more, enabling you to keep track of participant interactions and organizational changes.


Purpose of the Activity Feed

For event creators and venue operators, staying informed about the latest activities is essential for successful event management and enhanced patron experiences. The Activity feed serves as a centralized hub that offers several key benefits:

  • Real-Time Insights: Monitor ticket sales, registrations, and patron interactions as they happen, allowing you to respond promptly to trends and issues.

  • Enhanced Patron Engagement: Understand how patrons are engaging with your events, which promotions are effective, and identify opportunities to improve satisfaction.

  • Operational Efficiency: Quickly track and manage refunds, cancellations, and ticket transfers without having to navigate multiple systems.

  • Data-Driven Decisions: Access detailed logs to analyze attendance patterns, peak booking times, and other valuable metrics that inform strategic planning.

  • Team Coordination: Keep your team aligned by viewing actions like team member additions or updates, ensuring everyone is on the same page.

By leveraging the Activity feed, you can optimize event operations, improve communication with patrons, and drive the overall success of your events and venue.


Accessing the Activity Tab

  1. Log In: Sign in to your Viewcy account.

  2. Navigate to Business Tools: From the main menu, select Business Tools.

  3. Go to Reporting: Click on the Reporting section.

  4. Select Activity Tab: Choose the Activity tab to access the activity feed.


Understanding the Activity Feed

Activity Entry Format

Each entry in the Activity feed follows a consistent format for easy readability:

  • Date & Time:

    • Displayed as "DD MMM, YYYY - HHAM/PM" (e.g., "08 Jul, 2024 - 11:40 AM").

    • Optional Display:

      • "Today": If the action occurred on the current day.

      • "Yesterday": If the action occurred on the previous day.

  • Log Entry Format:

    • [Time] [Actor] [Action Descriptor] [Product]

    • Actor: The person who performed the action.

      • Displays the full name.

      • Clickable link to the patron's detail view (opens in a new tab).

    • Action Descriptor: Describes the action taken by the actor.

    • Product: Details about the item involved in the action.

Example Entry:

  • "11:40 AM John Doe booked 2 General Admission ticket(s) for $50.00. After Viewcy and payment processing costs, you earned $45.00."

Types of Actions Logged

The Activity feed logs various types of actions:

  • Booked:

    • When a patron purchases a ticket or registers for a free event.

    • Example: "John Doe booked 2 VIP ticket(s) for $100.00. After Viewcy and payment processing costs, you earned $90.00."

  • Joined:

    • When a patron accesses a broadcast or video via a direct link.

    • Example: "Jane Smith joined 'Live Jazz Concert' via a direct access link."

  • Added Team Member:

    • When a new team member is added to the organization or event.

    • Example: "Admin added team member Alex Johnson to the event 'Summer Festival'."

  • Refunded:

    • When an order is refunded.

    • Example: "John Doe was refunded $50.00 for 'General Admission ticket'."

  • Cancelled Ticket:

    • When a ticket is cancelled.

    • Example: "Emily Clark cancelled her 'Early Bird ticket' for 'Art Workshop'."

  • Transferred a Ticket:

    • When a ticket is transferred to another patron.

    • Example: "Michael Brown transferred his 'VIP ticket' to Sarah Lee."


Using the Search Function

At the top of the Activity feed, there's a search bar to help you filter activities.

You Can Search By:

  • Person Name: Find activities by a specific patron or team member.

  • Product Name: Locate actions related to a specific event, ticket type, broadcast, or video.

To Search:

  1. Enter Search Term: Type the name of the person or product into the Search input field.

  2. Execute Search: Click the Search button or press Enter.

  3. View Results: The Activity feed will update to display matching entries.


Exporting Activity Data

You can export your Activity feed data for record-keeping or further analysis.

To Export Data:

  1. Click the "..." Menu: Located at the top-right corner of the Activity feed.

  2. Select Export CSV: Choose "Export CSV" from the dropdown menu.

  3. Download File: A CSV file containing the current Activity feed data will be downloaded.

    • Note: The export will include all entries currently displayed, based on any search filters applied.


Pagination and Navigation

To ensure optimal performance and readability, the Activity feed displays 50 entries per page.

Navigating Through Pages:

  • Pagination Controls: Located at the bottom of the Activity feed.

  • View More Entries: Click on the page numbers or "Next" and "Previous" buttons to navigate.

  • Pagination Text: Indicates the number of entries (e.g., "Showing 1-50 of 200 entries").


UI Notes

  • Information Density: The Activity feed is designed to prioritize information density, allowing you to view as much data as possible without excessive scrolling.

  • Clickable Elements:

    • Actor Names: Click to open the patron's detail view in a new tab.

    • Product Titles: Click to navigate to the event's statistics page or broadcast view in a new tab.


Related Activity Feeds

Viewcy provides additional activity feeds in other sections for more specific insights.

  1. Event Stats:

    • Location: Stats tab within an individual event management view.

    • Purpose: View activities related to a specific event.

  2. Patron Detail View:

    • Locations:

      • Guest List: On individual events.

      • Guests Tab: Within the organization's Events view.

    • Purpose: See activities associated with a particular patron.
