Add a task

This article explains how to create a task and set up reminder notifications for the task.

  1. In the menu, click Tasks.

  2. Click the + button at the top right of the Tasks overview.

  3. Enter the details.

  4. Click Save.


Type

Individual

You can use this option for any type of task that you want to record.

MOT

For this task type, you must enter the initial vehicle registration date. The system can then calculate the next MOT due date.

You can set up time-based notifications for this task type.

When you know the exact date for the MOT, you can enter it in the task. Until that point, you are reminded to make an appointment for the MOT.

Service

For this task type, you can set up time-based or kilometer-based notifications, because the service interval requirements vary from manufacturer to manufacturer.

When you know the exact date for the inspection, you can enter it in the task. Until that point, you are reminded to make an appointment for the inspection.

Title

A descriptive name for the task.

Responsible person

The user who is responsible for completing the task. For MOT and Service tasks, the assigned user receives an email after you save the task. Via the link in the email, the user can directly access the task. See Delegate a task for more information.

Notifications

Fleet can remind you about tasks that are due for completion. When tasks are due, a red dot appears next to the notifications icon at the top right of the page.

Click on the icon to view the notification.

Time-based notifications

Check this option to receive notifications when a specific date is reached. For example, you may want a reminder when the MOT for a vehicle is due.

  1. Enter a date to receive a notification on the exact due date.

  2. If you want reminders before the due date, click on the + icon next to On the due date.

  3. Specify a reminder interval by entering a number and selecting a frequency. The system calculates the reminder date and sends you a notification on this date.

Kilometre-based notifications

Check this option to receive notifications when a specific odometer value is reached. For example, you may want a reminder when the vehicle is due for inspection after reaching an odometer value of 60000 kilometres.
