You can use the cost outliers analysis to easily identify unusual or unexpected costs.

A cost outlier is an individual cost value that differs significantly from other comparable values or does not correspond to the expected value. After activating the cost outliers analysis and adding cost entries, you can view cost outliers in the Cost outliers overview.

Activate the cost outliers analysis

You can activate the cost outlier analysis for the following rules and specify for which vehicles the rules apply:

All cost entries that break one of the activated rules appear as an anomaly in the Cost outliers overview.

  1. Click the menu item Settings, then click the menu item Outliers.

  2. Click the appropriate slider to activate or deactivate a rule.

  3. Click the arrow on the right to expand the rule and define the settings.

Products

  1. Select which products (such as fuelling, car washing or parking) may be purchased.

  2. Optionally, select the frequency with which they may be purchased.

  3. Select the vehicles for which the rule applies.

If a product is purchased that is not permitted, or a permitted product is purchased too frequently, the purchase is considered an outlier.

Examples:

  • You permit one car wash per week for vehicles. If a driver takes a vehicle to the car wash twice in a week, a corresponding entry appears in the cost outliers overview.

  • You do not permit fines. If a driver submits a cost entry for a parking fine, a corresponding entry appears in the cost outliers overview.

Tank volume

Prerequisite: The standard tank volume must be specified in the Technical specifications section of the vehicle details.

Select the vehicles for which the rule applies.

If the purchased fuel volume does not correspond to the standard fuel tank volume of the vehicle, the purchase is considered an outlier.

Example:

The fuel tank capacity of a specific vehicle is 13 gallons. If a driver submits a cost entry for 15 gallons for that vehicle, a corresponding entry appears in the cost outliers overview.

View cost outliers

  1. Click the menu item Costs, then click the menu item Outliers.
    The Cost outliers overview opens.

  2. Click on an outlier to view details of the outlier.

  3. Click Associated cost entry to view details of the cost entry that resulted in the outlier. For frequency violations, links to all related cost entries are displayed.
