Sync Calendar Appointments directly from the Filevine Project to your Client Portal, reminding your clients of important dates and events.

Use the Filevine Calendar feature in VineConnect to relay important dates, information, appointments, appearances, and more without ever leaving Filevine directly from the Project Calendar! You can even collect feedback about the event from your client, and the information they provide will sync back to the Filevine Project in a variety of ways described below.

Please note that this feature currently syncs in ALL calendar events from a Project and displays them in a new page within the front-end Client Portal for "Calendar". It is here that the client can provide feedback that syncs back to the appointment in Filevine, or you can set it to create a new Collection Section item or update an Existing Collection Section item.

Your client will also see a list view of upcoming appointments on the homepage of the Client Portal as well.

Configure Your Calendar Display Settings in Client Portal

When you first navigate to this section on the admin side, you will see a toggle to turn the Calendar on (this initiates its presence on the front-end Client Portal). A second toggle will appear to enable the collection of feedback for Appointments.

You have two primary ways of collecting and syncing feedback:

  • Allow feedback to override appointment notes

  • Sync feedback to a Collection Section

If you decide to sync that feedback to a Collection Section, choose whether that collected feedback should:

  • Create new Collection Section item

  • Sync to existing Collection Section item

When you select these options you will see additional configurations to set to ensure that the information is routed properly.

Create new Collection Section Item

If you choose this particular way to sync data you will need to select the Project Type Template you want to use from your Org, then the Collection Section and Specific Fields to populate for that newly created item. You can add as many fields as you would like and they will appear for the client to complete.

Sync to An Existing Collection Section Item

If you choose to sync to an existing Collection Section item, you will need to select the Project Type Template you want to use from your Org, then select the Collection Section and Fields you want to sync to, just like the method for creating a new Collection Section item.

However, there's a final step: Choose Section Field to Display Collection Item By. Choose a field that will have some contextual data or value in it that will be familiar to the client. This will present a dropdown menu for your client to choose from.

Some really good examples of how this could work would be to choose to display a person field from a collection item signifying a contact or company associated with the appointment, or a dropdown field with different "types" they would recognize.

NOTE: VineConnect will not override any data that exists in the field that you designate to be updated with feedback. Instead, it will append the feedback with a timestamp and note that it came from Calendar Feedback from Client Portal.

Once you have your configuration saved your clients will see the following upon their login of the client portal. This is a quick-view of the calendar.

If they navigate to the Calendar on their menu they will then see the full page.

From here they can select the individual event itself to see the time, date, location and notes associated to that event:

If you've toggled the collection of feedback, they will also see a button to Send Feedback. This is where the routing configuration comes into play. This button reveals a popup to submit the feedback and includes the fields you chose from the config.

When “Sync to Existing Collection Section Item” is your chosen method for syncing feedback data back to the Filevine project, you’ll now see that display items as fields.

This feedback when submitted will sync as you have designed it on the admin portal, and you will be alerted of this as well.

NOTE: It's a good idea to put your Client Portal in Setup Mode via the Launchpad, and then thoroughly test the configuration before resetting your Portal live for your clients to enjoy!

Sync Feedback to the Filevine Calendar Appointment

You can choose to have feedback sync to the Filevine Calendar Appointment by default. This will append the feedback and timestamp the message.

That feedback will sync to the Appointment body along with a timestamp and the #fromClientPortal hashtag.

NOTE: You can use Automated Workflows to set up a trigger for 'Calendar Appointment Updated' conditional on the hashtag and then take any action!
