How to Retrospectively Add a Visitor Sign-In Record

Keeping accurate visitor records is essential for workplace safety, compliance, and reporting. There are times when a visitor may have arrived but didn’t complete the sign-in process at the moment, such as when your reception team is busy, or the visitor bypassed the kiosk. In such cases, you can retroactively add a visitor sign-in and sign-out record by using a dedicated QR code kiosk and editing the times after the fact.

Quick 3-step Guide

  1. Design a Manual QR Code Kiosk

    1. Create a new kiosk sign-in point.

    2. Name it appropriately — for example: “Manual Sign-In (Reception Use Only)”

    3. Ensure the kiosk layout includes two buttons, one for signing in a visitor and another for signing them out

    4. (Optional) Print or bookmark the QR code URL for this kiosk so staff can quickly open it on a device.

  2. Use the Manual QR Code Kiosk to Log Records

    1. Open the QR Code Kiosk using the "Sign In Visitor" button at the top right of the Dashboard screen. Alternatively, staff can use the printed QR code or bookmarked URL.

  3. Edit Sign-In and Sign-Out Times

    1. Find the newly created visitor session in your dashboard

    2. Edit the sign-in time and sign-out time to match the real times the visitor was present
