A complete guide to integrating Vincere with your Access Volcanic website for seamless job posting and candidate data syncing.

Overview

Integrating Vincere with your Access Volcanic site allows you to:

  • Post jobs from Vincere to your Volcanic website.

  • Retrieve candidate applications and registration data into Vincere.

This enables seamless job syncing and streamlined hiring workflows.

What You Need Before Starting

  • Admin access to the Access Volcanic Admin Area

Set Up Vincere Job Posting

Create a Legacy Token in Volcanic

  1. Log in to the Volcanic admin area, then click the Settings tab.

  2. Click Apps (under Site), then click the Legacy Tokens tab.

  3. Click the + New button and fill out the form:

    • Name: Integration name (e.g., Vincere).

    • Domain: Your Volcanic website domain (e.g., https://www.example.com).

    • Locale*: Add the locale for your jobs (e.g., en).

    • Location locale*: Add the locale for your job locations (e.g., en).

    • Add required Permissions:

      • Clients:

        • Create Client

        • List Clients (mandatory)

      • Disciplines:

        • Create Discipline

        • List Disciplines

      • Job Functions:

        • Create Job Function

      • Job Types:

        • Create Job Type (mandatory)

        • List Job Types

      • Jobs:

        • Create Job

        • Fetch Job

        • List Job

        • Expire Job

        • Delete Job

      • Taxonomy:

        • Available User Attributes

        • Available Job Attributes

      • Users:

    • Select optional settings as needed:

      • Default job expiry date: 30 days.

      • Send invitation emails to new users?

  4. Click Create Legacy Token and copy the API Key when it appears.

    ๐Ÿ“Œ Note: A green banner displays the API Key after creation. Copy and save it immediately. This only appears once.

Choose the API URL based on your hosting stack:

๐Ÿค“ Tip: Your staging site URL reveals your stack. (e.g. a staging link with .eu-2. means EU stack). Contact Volcanic Support if unsure.

Enable the Volcanic Integration in Vincere

Once your Legacy Token has been set up in Access Volcanic and youโ€™ve copied the API Key and API URL, follow these steps to enable the integration from Vincere:

  1. Log in to Vincere (Admin account).

  2. Click Settings, then click on Marketplace.

  3. Find the Access Volcanic tile.

  4. Click the Setup tab, then select Enable Volcanic.

  5. Fill in:

  6. Click Connect.

Map Volcanic Fields in Vincere

  1. Log in to Vincere (System administrator).

  2. Click Settings, then click on Marketplace.

  3. Find the Access Volcanic tile.

  4. Click the Job Field Mapping tab.

  5. To add fields, click the + button.

  6. To Remove fields, click the - button

  7. Click Save.

๐Ÿ“Œ Note:

  • Mandatory fields are greyed out and uneditable.

  • Add fields one at a time.

  • Date fields must be mapped to another date field.

  • Not all fields are available for mapping.

Post a Job to Volcanic from Vincere

  1. Log in to Vincere (end user role is fine).

  2. Click Jobs, then select a job.

  3. In the Action Panel, click Job Action.

  4. Click Post, then switch to Public.

  5. On the Volcanic tab, click Post.

  6. Review or edit mapped field data in the Job Preview.

  7. Click Post.

  • The data shown comes from the jobโ€™s Vincere profile.

  • Edited preview data doesnโ€™t sync back to Vincere.

  • To keep info consistent, edit the job in Vincere first.

Update a Job in Volcanic via Vincere

  1. Log in to Vincere.

  2. Click Jobs, then select a job.

  3. In the Action Panel, click Job Action.

  4. Click Post.

  5. Click Update, then click Update from the drop-down.

  6. Review or edit mapped field data in the Job Preview.

  7. Click Update.

Unpost a Job from Volcanic via Vincere

To remove a job posting in Volcanic from Vincere, you can follow the steps below:

  1. Log in to Vincere

  2. Click Jobs, then select a job.

  3. In the Action Panel, click Job Action.

  4. Click Post.

  5. On the Volcanic tab, click Update.

  6. Select Unpost, then click Yes to confirm.

  7. The job is marked as Expired in Access Volcanic.

๐Ÿ“Œ Note: Simply making a job Private or changing the Sourcing Close Date won't unpost it. Click Unpost.

Understanding Disciplines

  • Vincere creates disciplines in Volcanic when posting jobs.

  • Avoid duplicate or missing disciplines by matching discipline Reference values.

Follow the steps below to correctly match up your disciplines:

Match Disciplines

  1. In Vincere, post a job with an unmatched discipline.

  2. This creates a duplicate discipline in your Volcanic site.

  3. In Volcanic, click Settings, then click Reference Data.

  4. Select Disciplines, then edit the duplicate discipline.

  5. Copy what's in the Reference. This is the Vincere Discipline ID.

  6. Edit the original Volcanic discipline.

  7. Paste the Vincere Discipline ID into the Reference field.

  8. Delete the duplicate discipline.

๐Ÿค“ Tip: You can also simply copy the content from the original Volcanic discipline to the new duplicate, and then delete the original instead.

Set up Vincere candidate retrieval

Set up Candidate Sync in Volcanic

๐Ÿ“Œ Note: Contact Vincere Support to get your Vincere API Key.

  1. Log in to Volcanic as an admin.

  2. Click the Settings tab at the top.

  3. Click Apps.

  4. Click the Legacy Token at the top and edit the Legacy Token you created before.

  5. Add the following permission:

    • Users:

      • Fetch User

  6. Click Update Legacy Token.

  7. Click Webhooks at the top.

  8. Click the + New button.

  9. Fill out the form:

    • Name: Add your Vincere Tenant Name (e.g., example-company.vincere.io)

    • Endpoint: [Your Vincere Tenant URL]/api/v2/simpleauth/volcanic/candidate

      ๐Ÿ“Œ Note: Ensure there are no spaces at the end of the URL.

    • Http method: POST

    • Content-Type: application/json

    • Headers:

      • Name: Add x-api-key

      • Value: Add your Vincere API Key

    • Select:

      • Async

      • Use V1 API Resources

      • Active

    • Retry interval: 1

    • Events: Add A user is saved, A job is applied for.

  10. Click Create Webhook.

Enable Registrations and Applications in Vincere

  1. Log in to Vincere using an Admin account

  2. Click Settings, then click Marketplace.

  3. Look for the Access Volcanic tile in the Marketplace.

  4. Click the Settings tab.

  5. To enable registrations, select:

    • Enable: Retrieve New Candidate Registrations from Volcanic as New Candidates.

  6. To enable applications, select:

    • Enable: Retrieval New Applications - Add to Applications Stage.

  7. Click Save.

Only the following candidate data is retrieved:

  • First Name

  • Last Name

  • Primary Email

  • CVs

  • and Cover Letters.

Other fields aren't currently supported.

FAQs

Q1: Do I need a developer to set up the Vincere integration?

  • Answer: No. Admin users with appropriate access can complete the setup using the Admin Area and Vincere's Marketplace settingsโ€”no developer required.

Q2: How do I verify that the integration is working?

  • Answer: Post a test job from Vincere and confirm that it appears on your Volcanic site. Submit a test application to ensure candidate data is successfully pulled into Vincere.

Q3: What if I lose the API Key after creating a Legacy Token?

  • Answer: The API Key is shown only once and cannot be recovered. If lost, you will need to create a new Legacy Token and update the integration in Vincere.

Q4: Will updates made in Volcanic sync back to Vincere?

  • Answer: No. Changes made in Volcanic do not sync back. Always update job and candidate data in Vincere first and re-post if needed.

Q5: What candidate data is retrieved from Volcanic to Vincere?

  • Answer: Only the following candidate information is retrieved:

    • First Name

    • Last Name

    • Primary Email

    • CVs

    • Cover Letters

Q6: How can I find which API stack my Volcanic site uses?

  • Answer: Check your staging URL for clues (e.g., .eu-2. means EU stack). If you're unsure, contact Volcanic Support to confirm.

Q7: What happens if disciplines donโ€™t match between Vincere and Volcanic?

  • Answer: A duplicate discipline may be created. You should match the Vincere discipline ID with the Volcanic Reference field to prevent duplication.
