What are tags?
On Volunteero, client tags let you label client profiles with useful data or attributes.
They're essentially a 'filterable' note on a client profile. Tags may support your staff team with the day-to-day management of missions, matching, or reporting purposes.
Some examples of client tags may include:
Support Needs: Bereavement Support, Long-term Condition, Step-Free Access.
Funding Streams: National Lottery Funded.
Additional Needs: Allergies, wheelchair.
Interests: Reading, gardening, football.
Remember, you can always ask our team for advice on what would be suitable tags for your organisation
Create a tag
Before you can add tags to a client profile, you’ll need to create the tag first.
Go into the 'Clients' Section on the left-hand side of the dashboard
In the top-right corner, click the 'Tags' button.
From here, you can create and manage a bank of tags to use within that database.
Enter the name of the tag and hit 'Create'.
Once you have created all of the relevant tags for you in both your client database, you will see them all appear in your bank of tags. Example below:
Add a tag to a client profile
Open the client profile you wish to add a tag to.
Open the 'profile' tab.
You'll see a field called 'Tags', click into this section, and your drop-down list of tags will become available.
Here, you can add relevant tags to that profile.
Did you know? You can apply up to 30 tags to a Client's profile
Filtering with tags
Once you’ve created tags, you can use them to quickly filter client profiles.
Head to the Client database
At the top of the page, next to the search bar, click the 'Filter' button.
From here, you can filter and search for profiles with a specific tag.
You can also use the Invert Tag option. This will show you all profiles that don’t have a particular tag applied.
When filtering by tags, you’ll also see an option called 'Tag Date'. This allows you to narrow down profiles based on when a tag was applied. For example, you can view all profiles that were tagged before or after a certain date.
Using Tags for Insights
You can already use volunteer tags to filter insights, while this isn’t currently available for client tags. As this is the first release of our Custom Insights feature, we’d love to hear your feedback on what you’d like it to do in the future.
In the meantime, there are a few useful workarounds you can try with client tags to filter your database. For example, you can use the 'Filter' and 'Tag Date' options in the Client Database to narrow down profiles by specific tags, or view those without a particular tag applied. If you’d like to carry out a more detailed analysis, you can also export your client data list, after applying the relevant filters, and work with it externally in tools such as Excel.
Delete a tag
You can remove a tag from a profile by opening up the relevant client profile and navigating to the tags section. Here you'll be able to click the 'X' against any tags to remove them. Apply changes, or this change won't take effect.
If you want to remove a tag permanently from your bank of tags, then you can do so by navigating to the main bank of tags on your client database.
We only recommend you do this if you're certain that you have run all insights on the relevant tag(s) and that you will no longer require this information on your account.
As always, if you require any further assistance with this, please use the support button in your Staff Dashboard or email us at support@volunteero.org.
Our team will be happy to help!😊
