Audit Trail

Want to track actions across your organisation to see who did what, when, and where? Read this article to find out more.

Overview

As a staff user, you can view a full Audit Trail (activity log) covering:

  • volunteer activity,

  • staff activity,

  • client activity

  • changes made through integrations/API

You’ll find this in the bottom-left corner of the management section under 'Audit Trail'.

Here, you can see when the action took place, who carried it out (staff or volunteer), and what the action was. You can filter the audit trail by the action or by volunteer/ client.

Permission Levels

To access the Audit Trail, you’ll need editor-level access to System Settings within your role, and your access must not be restricted by groups. If you can’t see this feature, it’s worth contacting your organisation admin to check whether your permission levels have been limited.


Which Activities are Captured in the Audit Trail?

The Audit Trail can now capture the following volunteer activities:

  • Create report

  • Upload receipt

  • Attempt phone call

  • Request to join a mission

  • Withdraw request to join a mission

  • Leave mission

  • Auto approval for mission

  • Sync profile

  • Volunteer modified their address

  • Sync emergency contacts

  • Request a shift

  • Leaves a shift

  • Join a shift

  • Withdraw request to join shift

  • Checked in to shift

  • Checked out of shift

It can also capture the following staff activities:

  • Create a report on behalf of a volunteer

  • Revise report

  • Staff upload receipt

  • Edited check-in time

  • Signed off on check-in time

  • Remove sign off of check int time

  • Delete attendance record

  • Create client

  • Update client details

  • Activate client for missions

  • Deactivate client for missions

  • Delete client

  • Create volunteer

  • Update volunteer details

  • Turn off volunteer app access

  • Turn on volunteer app access

  • Delete volunteer

  • Create mission

  • Update mission details

  • Update mission availability

  • Update mission options

  • Update mission items

  • Update mission location

  • Update mission qualifications

  • Archive mission

  • Restore mission

  • Delete mission

  • Assign a volunteer to mission

  • Remove volunteer from mission

  • Approve volunteer for mission

  • Reject volunteer for mission

  • Create shift

  • Update shift details

  • Delete shift

  • Delete shift and future shifts

  • Delete all shifts in series

  • Assign volunteer to shift

Filtering the Audit Trail

Filter by action:

  1. Click into the search bar at the top of the Audit Trail page.

  2. Select one of the available actions from the list.

  3. Click the action you’d like to filter by.

  4. The Audit Trail will update to show all activities related to that action.

Filter by volunteer:

You can filter the Audit Trail by volunteer to see a record of their activity.

  1. In the top-right corner of the Audit Trail, click the Filter button.

  2. Select the volunteer you’d like to filter by.

  3. (Optional) Add an action alongside this to view a specific type of activity completed by that volunteer.

  4. The Audit Trail will update to show all actions completed by that volunteer. If used alongside the action filter, it will display only activity related to that selected action.

Filter by client:

You can also filter the Audit Trail to see volunteer and staff actions against a client datapoint.

  1. In the top-right corner of the Audit Trail, click the Filter button.

  2. Select the client you’d like to filter by.

  3. (Optional) Add an action alongside this to view a specific type of activity completed by a volunteer or staff member for this client.

  4. The Audit Trail will update to show all actions completed for that client datapoint.
