Manage your form submissions

Congratulations! You have volunteers applying or clients being referred all through the online Volunteero forms. What's next?

In this article, we cover everything that happens from the point of form submission to creating a volunteer and client profile.

The place you are going to need to start is on the "Submissions" page under the "Recruitment" section on the left-hand side of the Staff Dashboard. You should see something like this...

Managing the stages

  1. Click on any submission to open it.

  2. Once opened, you can then see all of the information included in their submission.

  3. On the right-hand side of the page, you will see the 'Process' section (the stages that submissions should go through based on the process your organisation has set up for that form).

You can update the status at each stage and add internal notes, so your whole team knows exactly where the submission is up to

Filter and sort submissions

This gives you the ability to filter based on

  • Whether it is a volunteer registration or a client referral

  • Which form did the submission come from

  • The status of a given process stage

Use the filtering options at the top of the "Submissions" page to refine your search.

Create a volunteer or client profile

So you have done everything needed to turn that client referral into an actual client or a volunteer registration into an actual volunteer. Here is how to create a profile for them on Volunteero:

  1. Open a submission, on the top right-hand side of the screen, you will see either a "Onboard Volunteer" or "Onboard Client" option.

  2. Press this button, and as you will see, all the linked fields will be prefilled.

  3. Go through the stages, adding any other information necessary and assigning volunteers to the relevant group and labelling them with the relevant tags (See the Groups and Tags article for more information).

  4. Create a profile

Note: If some profile fields don’t automatically fill in when creating a profile, but you think they should, double-check that the correct data links are set up in the form editor (e.g., making sure ‘Given name’ is linked)

You will now have a volunteer or client profile under the relevant page. The information from the submission will always be stored in the volunteer's or client's profile under the "Submission" tab.

Link to a volunteer or client profile

Linking lets you pull information from other forms for existing volunteers or clients and link it to their profile, so all past submissions are always available. If you try to create a profile for someone who already exists, you’ll see an error, so no need to worry about duplicates. That said, it’s always worth checking first!
