Assigning volunteers to missions
You can manually assign a volunteer or volunteers to a mission.
Open the "Missions" page on the left-hand side of the Staff Dashboard.
Open the mission you would like to assign volunteers to.
Click into "Interested volunteers".
Click "Assign volunteers"
Any volunteers who are available to be assigned will drop down in a list.
Please note: To assign a volunteer to a mission, the volunteer requires app access to be enabled
Once you have your drop-down list of volunteers with app access, you can filter them further down by:
Groups
Tags
Qualifications
Status
Additionally, you can sort volunteers by active missions, distance from location, and last seen.
Once you have found the volunteer you wish to assign the mission to, tick the box on the left-hand side of their name and assign it to them.
You can select multiple volunteers in this way.
All assigned volunteers will receive an email or push notification (depending on their preferences) to inform them that they have been assigned a new mission.
Assign Volunteers to a shift
In order to be assigned a shift, your volunteer(s) need to be on the main mission.
Click into the relevant shift
Select volunteers
And then into 'manage volunteers'
You'll then see a list of all available volunteers that can be assigned, which will drop down.
Select your volunteers of choice and then decide whether you want to assign them to this one shift, or for all shifts in that recurrence (e.g., Thursday morning shift recurrence)
Remember: A volunteer must be on the mission before they can be assigned to or join a shift.
If you are trying to assign a volunteer to a shift and their name isn't coming up, then please assign to a mission first using the 'assign volunteers to a mission' button as pictured below. Once you have assigned them to the overarching mission, you can then assign them to the specific shift(s).
Approving volunteer requests
If you have set up a mission as requiring approval when volunteers make a request to join a mission, you will need to approve them before they can begin. There are two ways to do so:
On the "Home" page, there is a section called Recent Approval Requests. Find the volunteer request you wish to approve and press the three dots to the right of their name and "Approve for mission."
You will see on the main missions page where there is a pending volunteer.
Find and open the mission, go to "Interested volunteers", you will see the volunteer request here, and in the "Approved" column, there will be a horizontal line instead of a tick.
Click on the three dots to the right of their name and "Approve for mission".
You can make things even easier by sorting by the "Volunteers pending" column when on the "Missions" page, and this will show you all missions where volunteers are pending approval.
Approving volunteers on a shift
A few ways to check and manage your shift approvals:
Make the "recent shift requests" chart visible on your home screen by clicking the settings cog on the right-hand side
An icon will appear if you have pending volunteers for a shift. Click into the relevant shift to approve or deny the request.
Removing volunteers from missions
If you wish to remove a volunteer from a mission, here is how.
Open the "Missions" page on the left-hand side of the Staff Dashboard.
Open the mission you would like to remove a volunteer from.
Press "Manage volunteers," then press the three dots next to their name.
There will be two options:
"Remove approval": This will remove volunteers who have previously been approved on the mission. The mission will remain in the 'Missions' section of the app, where all of their other missions they are part of sit, but there will be an 'Awaiting approval' sign next to it.
"Delete request" will delete any requests, meaning they would see the mission again in their "Explore" missions list in the app. Volunteers can re-request to join if they choose to.
Volunteers leaving a shift or a mission
When volunteers leave a mission or a shift, there will be a space for them to provide a reason for why they are leaving.
If a volunteer chooses to leave a reason, this can be found in either the audit log or in the activity log within the mission itself.
Audit Log:
Go to the 'Audit log' on the left-hand side of the management dashboard.
You can filter by 'Leaves a shift'
Here you will see the mission, shift and reason for cancelling.
Within the mission:
Go to the mission
Go to 'Activity log'
Filter by 'leaves a shift'
Here you can view which shift the volunteer cancelled and why.
Remember, this is optional for volunteers. The volunteer does not have to provide a reason, so not all cancellation activities will have a reason attached to them.
Restricted Discovery missions
There may be circumstances where you want to restrict the discovery of a mission on the app. Enabling this feature allows you to create a mission without it being visible on the app for volunteers to claim (or request to join).
These restricted discovery missions require volunteers to be manually assigned to the mission by a staff user, and can be useful if you have a mission for which you have a particular volunteer(s) in mind.
Switch on this feature within the visibility section of the mission, either when creating the mission or after the fact.
Your mission will then show with a padlock icon in the missions tab, indicating that the restricted discovery is switched on.
