What are tags?
Volunteero tags are an easy way to 'tag' a volunteer or client profile with data or attributes.
They're an internal feature on the staff management dashboard that are different from groups in that they don't affect which missions a volunteer can see in the app.
Tags are essentially a 'filterable' note on a volunteer or client profile. For volunteers, they can be used for attributes that don't need to be a group, but you'd still like logged on the profile. For client's there may be things like support needs, funding streams or project coordinator names. Tags may support your staff team with the day-to-day management of missions, matching or reporting purposes.
Some examples may include:
Skills- eg, Languages spoken, work experience,
Funding reasons - eg, Big Lottery funded
Day-to-day management - eg, has photo consent, T-shirt size, availability
Needs- eg, Allergies, extra support, young person, BSL
Interests- eg, sport, photography, film making,
Remember, you can always ask our team for advice on what would be suitable tags at your organisation
Create a tag
Before you can add tags to a volunteer or client profile, you must first create that tag to make it available.
Head to the volunteer or client section, whichever you would like to create a tag for.
At the top right of the page, you'll see a button called 'tags'. Click here and you'll be able to create a bank of tags for you to use in that database.
Next, enter your tag into the "Enter name for tag" field and hit create.
Once you have created all of the relevant tags for you in both your client and volunteer database, you will see them all appear in your bank of tags. Example below.
Add a tag to a volunteer or client
Open the volunteer or client profile you wish to add a tag to.
Open the personal details section.
You will see a field called tags. Click into this section, and your drop-down list of tags will become available. Here, you can add relevant tags to that profile.
Did you know? You can apply up to 30 tags on a Volunteer or Client's profile
To delete a tag follow the same process but press the small x on the tag you wish to remove from that profile.
Make sure to apply changes or this change won't take effect.
Filter and use with insights
Make use of the filter button on the top right-hand side of your volunteer and/or client database to filter profiles by tag(s). Here, you can even filter when a tag was applied.
Should you wish to view tag-related information within a custom insights dashboard, then you can apply a tag filter to any dataset chart.
Example: Volunteer time, filtered by volunteer profiles with the tag "spanish" would show you all the time dedicated by volunteers who fit this criteria
Delete a tag
You can remove a tag from a profile by opening up the relevant profile and navigating to the tags section. Here you'll be able to click the 'X' against any tags to remove them. Apply changes, or this change won't take effect.
If you want to remove a tag permanently from your bank of tags then you can do so by navigating to the main bank of tags on your volunteer or client database.
We only recommend you do this if you're certain that you have ran all insights on the relevant tag(s) and that you will no longer require this information on your account.
