What are tags?
Volunteero tags let you label volunteer or client profiles with useful data or attributes.
Unlike groups, tags are an internal feature in the staff dashboard and don’t impact which missions a volunteer sees in the app.
Tags are essentially a 'filterable' note on a volunteer or client profile. For volunteers, they can be used for attributes that don't need to be a group, but you'd still like logged on the profile. Tags may support your staff team with the day-to-day management of missions, matching, or reporting purposes.
Some examples of volunteer tags may include:
Skills: Languages spoken, work experience
Funding reasons: Big Lottery funded
Day-to-day management: Photo consent, T-shirt size, availability
Needs: Allergies, extra support, young person, BSL
Interests: Sport, photography, filmmaking
Remember, you can always ask our team for advice on what would be suitable tags for your organisation
Create a tag
Before you can add tags to a volunteer profile, you’ll need to create the tag first.
Go to the Volunteers section on the left-hand side of the dashboard
In the top-right corner, click the 'Tags' button.
From here, you can create and manage a bank of tags to use within that database.
Enter the name of the tag and hit 'Create'.
Once you have created all of the relevant tags for you in both your volunteer database, you will see them all appear in your bank of tags. Example below.
Add a tag to a volunteer profile
Open the volunteer profile you wish to add a tag to.
Open the personal details section.
You will see a field called 'Tags', click into this section, and your drop-down list of tags will become available.
Here, you can add relevant tags to that profile.
Did you know? You can apply up to 30 tags to a Volunteer's profile
Filtering with tags
Once you’ve created tags, you can use them to quickly filter volunteer profiles.
Head to the Volunteer database
At the top of the page, next to the search bar, click the 'Filter' button.
From here, you can filter and search for profiles with a specific tag.
For example, in the screenshot below, all volunteers with the ‘Photo Consent’ tag are displayed in the database.
You can also use the Invert Tag option. This will show you all profiles that don’t have a particular tag applied.
When filtering by tags, you’ll also see an option called 'Tag Date'. This allows you to narrow down profiles based on when a tag was applied. For example, you can view all profiles that were tagged before or after a certain date.
Using tags to filter insights
Should you wish to view tag-related information within a custom insights dashboard, then you can apply a tag filter to any dataset chart.
Example: Volunteer time, filtered by volunteer profiles with the tag 'Spanish' would show you all the time dedicated by volunteers who fit this criteria.
Delete a tag
You can remove a tag from a profile by opening up the relevant volunteer profile and navigating to the tags section. Here you'll be able to click the 'X' against any tags to remove them. Apply changes, or this change won't take effect.
If you want to remove a tag permanently from your bank of tags, then you can do so by navigating to the main bank of tags on your volunteer database.
We only recommend you do this if you're certain that you have run all insights on the relevant tag(s) and that you will no longer require this information on your account.
