If your volunteers need to do any of the following:
Sign agreements
Read and acknowledge policies
Sign a code of conduct
Parental/ guardian consent
Certificate or file uploads
Then you can use our forms feature for this!
Think of the forms feature as a way of capturing anything from a volunteer that you want linked to their profile in addition to their main volunteer application, almost like a 'filing cabinet' on the volunteer's profile.
Jump to sections:
Create a form
Head to the 'recruitment' section on the Volunteero management platform and click into 'forms'.
Click +form at the top right to get started with creating your form.
Select 'volunteer registration form' and link the submission to a volunteer profile.
Create a form and select the form type
Name your form
Select a process (This will likely only need to be one stage: 'Link to profile' unless of course, there's anything else you need to do with this submission when it returns)
Set your notification preferences for returning submissions.
Note: The naming of the form depends on how you will need to find it or view the information once it has been linked to a profile.
Application tracking
Consider whether this form type requires application tracking.
Capture the volunteer's name
Make use of the short answer field to capture the first and given name fields. This will ensure that when your submission comes into the account, you can see which person has completed it!
Make sure these are linked to a Volunteero field like on the image below.
Customise your form contents
Use the rich text and media field(s) to build out the body of your form.
Read our guide on form building for full information.
Confirmation/ acknowledgement
You may wish to make use of the checkbox field here to have the volunteer confirm they have read and understood the policy/ agreement/ code of conduct
Tip: You can even make use of field descriptions to hyperlink out to websites, drives or online documents!
Once you have finalised the contents of your form, don't forget to click 'Apply Changes'!
Capturing a signature
In addition to the confirmation/acknowledgement, you can also have the volunteer sign the document. Simply add the digital signature field and make it a required answer.
Share the form
Once you have your finalised form, click 'share form' to get a direct link to this form.
Share this link to whoever you need to return a submission.
Some Volunteero ways to share form links may include:
Volunteero's chat feature (volunteers need app access for this approach)
In a mission description (volunteers need app access for this approach) *
Application tracking tool (individuals must have subscribed for updates)
However, you may choose to send the link for this form externally from Volunteero in an email, organisational newsletter or other communication tool.

Link a submission to a profile
When a completed form arrives in your submissions, you can click into it and manage any process steps where needed.
Once you are ready to link it to an existing profile on volunteero, simply head to the top-right of the submission and click 'onboard volunteer'.
Here, you'll select the 'link with an existing volunteer' option, which will allow you to search through the profiles on your account and create a link with the relevant profile.
When you have created the link, the relevant profile will now show all linked submissions, which you can click into and view the contents of whenever needed.
Top tip: after you have onboarded a submission to a profile, we recommend archiving the submission so that the section.
