Overview

Appointments are blocks of time in which staff meet with customers at a predetermined time. The appointments calendar is where staff may book, edit, delete, and view customer appointments. The appointments calendar is staff-facing only. For information on the customer-facing booking calendar, refer to customer site.

Time Blocks

Appointment calendar time blocks are colour coded to indicate availability.

  • Green - This time black has availability and at least one appointment may be booked

  • White - This time block has no availability and therefore no appointments may be booked

  • Red - This time block has availability but is full and therefore no more appointments may be booked

  • Yellow -This time block is in the past and therefore no appointments may be booked

Create an Appointment on a Customer's Behalf

Important Note: Appointments cannot be created (by staff or customers) unless appropriate availability is already in place for the corresponding block of time.

  1. Navigate to Appointments on the left-hand navigation menu

  2. Select Appointments at the top right corner of the screen

  3. Select the + button in the top left corner of the screen to open the booking calendar window

  4. Select a service type (if required)

  5. Select a staff member

  6. Select a date

  7. Select a time; the Customer Details page will open

  8. Enter the relevant customer details then select Save. The appointment should now be visible on the Appointment Calendar

View & Edit Existing Appointments

To view or edit an existing appointment, select it on the appointment calendar and the appointment edit window will open. From here you can modify customer information, view uploaded forms/waivers/files, reschedule, cancel, or complete the appointment, or mark the appointment as arrived.


Filters

The appointment calendar has two filters that can be used to show or hide specific appointments.

  • Queues/Service Types - Located at the top centre of the page, this filter allows appointments to be filtered by specific queues or specific service types

  • Staff - Located at the top right of the page, this filter allows appointments to be filtered by assigned staff

Additional Functions

Select the vertical ellipses button to find additional functions, including

  • Search Appointments - View appointments as a searchable, sortable, and filterable report

  • List Availability - View availability as a searchable, sortable, and filterable report

  • Send Alert to Upcoming Appointments - Send a bulk message to customers with upcoming appointments

  • Print Appointments - Opens a print-friendly view of appointments
