Canceling Appointments

We'll cover how to cancel an appointment, how your clients can cancel their own appointments, and important things to know about early cancellations and late cancelations.

🚩 Settled appointments can not be cancelled.

Canceling Appointments via the Front Desk (In-studio)

Canceling Individual Appointments

  1. From the main navigation menu select Appointment Schedule

  2. Select the appointment you'd like to cancel

  3. Choose the red cancel option or the teal cancel appointment button

Selecting Studio (You) when the cancelation is made inside or outside cancelation window

Cancelations made by the studio will always return the appointment session back to a pack/ plan or refund the client's single session (standard pricing) back to their original payment method. In other words, this option will always result in what can be considered an "early cancelation". Unlike classes, appointments do not have the option to refund a single sessions back to account credit or the original payment method.

Selecting the client when the cancelation is made outside the cancelation window

If it is outside the cancelation window, in other words if it is a late cancelation, selecting the client's name will give you the option to charge or not charge the cancelation fee as well as return the session back or not return the session back to the clients pack/ plan. If the client purchased a single session (standard pricing), then choosing will not lose will result in the client being refunded back to their original payment method. Unlike classes, single session appointments (standard pricing) will always be refunded back to the client's original payment method. There is not a setting that regulates this.

Selecting the client when the cancelation is made inside the cancelation window

If a plan was used to book the appointment, then the individual session will be returned back to the pack/ plan. If the appointment was booked with a single session (standard pricing), then the client will be refunded back to their original payment method.

Canceling Multi-Capacity Appointments

If you are canceling an appointment with two or more clients, follow these steps:

  1. From the main navigation menu select Appointment Schedule

  2. Select the appointment you'd like to cancel (Currently, there is not way to see if the additional appointment slots have been booked. On the appointment schedule the appointment will appear as one booking)

  3. To cancel one client from the multi-capacity appointment and not all clients, choose the red cancel option

  4. To cancel all clients from the capacity appointment, choose the teal Cancel Appointment option

  5. Then, choose Cancel Appointment for All. Selecting Cancelling Appointment for all does not late cancel the appointment

    Currently, there is not a way to late cancel all clients within a multi-capacity appointment

If the appointment is a late cancel, and you choose Cancel Appointments, you will be given the option to early cancel all bookings or late cancel each individual appointment booking.

Canceling an Appointment via the Widget

Appointments can be canceled from your clients schedule. Clients can access their booked appointments by selecting Your Schedule from the widget navigation menu and cancel their appointment by selecting Cancel.
