Move Clients Through Your Lead Tracker Sales Pipeline

This article walks you through the process of setting up action automations to effectively move customers through your sales pipeline.

By setting up tag and Lead Stage automations using Journeys, you can efficiently manage your leads, track their progress, and take timely actions.

To automate moving customers through your pipeline, you'll create a series of automations that update lead stages based on specific actions or timeframes. You can also manually add and remove Lead Stages from the Contacts page in Walla. In this article we go over automated pipeline movement.

Enter Pipeline

Step 1: Set Up Lead Stages

Lead stages help track prospects through your sales pipeline:

  1. From the Main Navigation Menu select Marketing Center

  2. Select Lead Stages

  3. Review the pre-built lead stages provided

  4. Keep your lead stages minimal for simplicity

  5. Customize lead stages to fit your studio's specific needs, but maintain a clear distinction between active leads and closed opportunities.

Step 2: Add Tags

Lead tags help track segments of clients through your sales pipeline:

  1. From the Main Navigation Menu select Tags

  2. Select Add New Tag

  3. Create your tag (In our example we are going to use Fresh Hot πŸ”₯ Lead as the tag we are going to create

  4. Save

Step 3: Add a Journey

Now, set up a journey to manage your sales funnel. Focus on adding and removing tags rather than sending communications.

  1. From the Main Navigation Menu select Marketing Center

  2. Select Journeys

  3. Choose Add New Journey to create a new journey specifically for your sales funnel

  4. Name it appropriately (e.g., "Sales Funnel for Events").

Step 4: Define audience parameters

In the Audience section, select the criteria that will trigger this automation

  1. Select add Audience

  2. For example, to tag new leads who had their first visit at your studio, you might select:

Contacts without a Plan

Plans: Any plan, including Intro Offers

Never or Past: Contacts who have never owned a plan specified above

Condition 2: Class Check-in Activity

# of check-ins: Exactly 1

Time frame: All time. Any check-ins ever.

Locations: Any location

Classes: Any class

Staff: Any staff

Start time: Any start time

Payment method: Any method

Condition 3: Class Check-in Activity

Find contacts based on their check-in behavior. Optionally search by class detail and payment method.

# of check-ins: 1Exactly 1

Time frame: Exactly 0 days ago

Locations: Any location

Classes: Any class

Staff: Any staff

Start time: Any start time

Payment method: Any method

Step 5: Configure the Journey

Set up your journey to automatically tag and categorize leads:

  1. Select Add Automation

  2. Skip the audience and message sections if you're not sending communications

  3. Go directly to Add or Remove Tags and Lead Status

  4. Choose the appropriate tag to add (In our example we are going to use the Fresh Hot πŸ”₯ Lead tag)

  5. Set the lead stage to add when the audience runs. In our example we are going to select Add the Lead Stage New Lead

  6. Save

Adapt this process for any type of sales funnel. The key is to create a systematic approach that helps you manage and pursue leads effectively, ultimately growing your studio's client base.

Exit Pipeline

Step 1: Add automation parameters

To remove a client from the pipeline you will need to create another automation that removed the tag and the Lead Stage. Alternatively, you can manually change the lead status of the client and remove tags.

  1. From the Main Navigation Menu select Marketing Center

  2. Select Journeys

  3. Select the Sales Funnel Journey you want to set up an exit automation for

  4. Choose Add Automation

  5. In our example we are using the clients with the Fresh Hot πŸ”₯ Lead tag so we will choose the Tags Condition
    ​

Condition 1: Tag status

Has ANY one of: Fresh Hot πŸ”₯ Lead

Condition 2: Class Plan Status

Plans: Any of: OM a Unicorn πŸ¦„
Start time frame: Exactly 0 days ago
Usage: Doesn't matter if used

Step 2: Add or Remove Tags & Lead Stages

  1. Select Remove Tag and choose the tag from your entrance automation (i.e. In our example we are going to choose the Fresh Hot πŸ”₯ Lead tag)

  2. Under Remove stages from all contacts in audience choose the stage New Lead

  3. Save
