Amending flash reports

You can edit current, future, and historical fields on you flash report if you need to.

To get the most out of your flash report, you need to keep all your figures up-to-date.

Our flash reports include many data points which need to be kept updated, but some can be updated in advance and some can be updated historically so this guide will help you understand what and when fields can be updated.


Forecast Net Revenue

The first data point you will want to input is the forecast revenue. This will set the budget totals and tell you how much money is left for cost of sales. To begin setting the forecast:

  1. Select your chosen period—generally this would be your current period or a future period.

  2. Select the box in the column for the day in the Forecast Net Revenue row, that you'd like to amend on your flash report.

  3. Enter the total for the expected revenue for that day and press your enter key or click away from the box to save the change.


Actual Net Revenue

You amend the data in the Actual Net Revenue row the same way you update the data in the Forecast row. In contrast, however, you should only enter this data for the current day or historical period, because you need to know the real totals after close of business for that day.

  1. Select your chosen period—remember this would be your current period or a historical period.

  2. Select the box in the column for the chosen day in the Actual Net Revenue row, that you'd like to amend on your flash report.

  3. Enter the total of the real revenue for that day and press your enter key or click away from the box to save the change.

💡TIP

  • The Actual Net Revenue will override any data in the Forecast Net Revenue row when calculating totals.


Cost of Sales, Other Revenue, Other Expenses, and Liabilities

Underneath the Total Net Revenue row are the rows which handle outgoings and revenue not included in Actual Net Revenue. You should only update the boxes that are relevant to you and your business, and if you want to add an extra row you can do so via Extended Metrics. We won't go into detail about adding extended metrics in this article, you can find a how to here. Each of these boxes are editable in the future, present, and the pastexcept for Total Purchases.

  1. Click into the box you want to edit—make sure the row and column are correct.

  2. Enter your data.

  3. Click away from the box or press your enter key.

Depending on the box you select your entered values will: add to the daily net spend, subtract from it, or have no effect:

  • Petty Cash - adds to the daily spend, balancing against total purchases, negatively affecting the Daily Actual GP.

  • Stock Transfer In - adds to the daily spend, it is not included in total purchases but will still negatively affect the Daily Actual GP.

  • Stock Transfer Out - subtracts from the daily spend, positively affecting the Daily Actual GP.

  • Management and Sales Allowance - subtracts from the daily spend, positively affecting the Daily Actual GP.

  • Opening Stock Value - adds to the daily net spend, negatively affecting the Daily Actual GP, this balances against Closing stock value.

  • Closing Stock Value - subtracts from daily net spend, positively affecting the Daily Actual GP. Because Closing Stock Value balances against Opening Stock Value, these two values will cancel out if they are equal and Warrior wont include them in any accounting.

  • Other (Wastage) - this will subtract from spend and have a positive effect on Daily Actual GP.

  • Other (Net Spend) - this has an additive effect on spend and a negative effect on Daily Actual GP

After you've entered your data in the relevant metrics, you'll be able to accurately understand your earnings and spending on Purchase Warrior.
