This article will show you how to add airline contacts and assign them depending on whether they should be used for Bookings, Sales or Ad hoc rates.
How to find your existing GSA contacts
Firstly, using the side menu, click on the Settings section, then click on GSA contacts.
How to add individual GSA contact details
Next, to add an individual contact, click on the Add contact button.
If you’re adding a new contact, click on the plus symbol just under the search button. This will open a pop-up where you can enter your contact details.
Specify the details about the new contact. If they’re related to an existing GSA on your account they can be selected from the dropdown, as well as the Airline, the City they’re located in (cities that exist within your account country) and what Type of contact they are (Sales, Ad Hoc requests, Bookings & Standard).
Tip: the type of contact refers to 4 different areas where these details can be found: Sales, Ad Hoc requests, Bookings and, as a general or Standard contact.
If you’re adding a new contact, you’ll need to enter their name, phone number, and email address. This information will then show in any of the places mentioned above.
If, when enquiring about a rate, you want other users to receive email communications, you can add their email too in the eMails CC box. If you’re adding multiple CC emails, add a comma after each email address.
Once you have added the contact information, click on Add. This airline contact will now be added to your list of existing contacts.
To find your added contact information, whether it was as Sales, Bookings and Standard, make a static rate search.
Once your results have loaded, look for the contact book icon to the right-hand side of each rate. If you had previously selected All the contact information entered will show for Sales, Ad Hocs, Bookings and as the general email contact section.
You can also find Ad Hoc contact information when creating an Ad Hoc request directly from a rate. After selecting a particular rate with an airline or GSA, you’ll have the contact information available from the dropdown. Click here to read more about how to make an Ad Hoc request.
How to search for your contacts
To search for your airline contacts, you can use the dropdown options to narrow your search. These options are either GSA, Airline and City.
Once you’ve selected your options, click on the ‘Search’ button.
How to edit or delete existing contacts
You can manage and edit existing contacts by clicking on the pen symbol to the right-hand side of each, or delete any contacts by clicking on the trashcan symbol.
How to upload multiple airline contacts
You can upload multiple airline contacts instead of uploading them individually. To do this, first download the template by clicking on the Download template button.
This will then download an XLSX file with fields to fill in for your contacts. Once you have entered the contact information within the spreadsheet, save it to your files in a place that is easy to find.
Go back to the Contacts section and click on the Import contacts button.
This will open a section where you can choose the file from your desktop. Find the file by clicking Choose file.
Select the file and click Open. Once the file is added, you should then specify whether you want all previous contacts to be deleted.
Important: if you select the box Eliminate all previous contacts, this will remove all existing contacts from your account. This cannot be reversed.
Once the file is added, click on the Import button. Your contacts should now be added to your existing lists, if you did not choose to delete the previously added contacts.
