How to add a single airline contact

How you can add single airline contacts for Bookings, Sales and Ad hocs.

This article will show you how you can add single airline contacts and assign them depending on whether they should be used for Bookings, Sales and Ad hocs.

1. Head to the Contacts sub-tab

After logging in click on Settings then Contacts.

2. Add your contact details (part 1)

If you’re adding a new contact, click on the plus symbol just under the search button. This will open a pop-up where you can enter your contact details.

Specify the details about the new contact. If they’re related to an existing GSA on your account they can be selected from the dropdown, as well as the Airline, the City they’re located in (cities that exist within your account country) and what Type of contact they are (Sales, Ad Hoc requests, Bookings & Standard).

Tip: the type of contact refers to 4 different areas where these details can be found: Sales, Ad Hoc requests, Bookings and as a general or Standard contact.

Contacts added as Sales, Bookings and Standard can be found by highlighting the address book icon located to the top right-handside of any rates. Selecting All will mean that the contact information entered will show for Sales, Ad Hocs, Bookings and as the general email contact section.

You can also find Ad Hoc contact information when creating Ad Hocs directly from a rate. After selecting a particular rate with an airline or GSA, you’ll have the contact information available from the dropdown. Click here to read more about how to make an Ad Hoc request.

3. Adding your contact details part 2

If you’re adding a new contact you’ll need to enter their name, phone number, fax and email address. This information will then show in any of the places mentioned above. If when enquiring about a rate you want to have other emails CC’ed into communication, add their email too which will show in the sections mentioned above.

Tip: make sure if you’re adding multiple CC emails to add a comma after each email address.

4. Searching for your contacts

Once you have created your contacts and want to search for them, or want to search for a pre-existing one, you can use the dropdowns for GSA, Airline and City to do so.

Once you’ve selected your options click on the ‘Search’ button.

5. Editing and deleting existing contacts

You can manage and edit existing contacts by clicking on the pen and pencil symbol to the right-hand side of each. You can also delete any contacts by clicking on the red rubbish bin.
