How to add a spot rate

If you have received a rate from an airline outside of your WebCargo account you can add this rate so you and your colleagues can use it.

There are a number of reasons why you may want to create a spot rate to use for quoting on your WebCargo account. It may be that you have privately received an improved rate from an airline, or that you have requested an Ad Hoc on your WebCargo account, it has been accepted and now you want to use it.

In this article, we’ll focus on how to create a spot rate from scratch. If you want to find out how to convert an ad hoc request into a spot rate, read this article.

In order to create a spot rate, first of all, make a rate search as you would a normal rate search. You can either make a search directly from the homepage or through the Air tab.

Enter your origin, destination and any other information you have available, then click Rates.

There are 2 ways you can add your spot rate. The first is by using the + symbol at the top of the legend after making a search. Use this one if you have received a consol tariff or a quote that isn’t available for whatever reason on the platform.

Here you can manually enter all of the information, including which airline it is relevant for, the origin and destination it applies to, the validity and more.

As you’ll have a blank form, you’ll need to first select the GSA so the system can pull the current static rate and other information about the rate.

Add the name of your spot rate in the Product box, choose the currency, the validity period, the service, and the type of rate.

Adding the GSA will also bring up another section where you can enter the weight breaks and surcharges.

Enter the rates for each weight break, the surcharge costs, select whether this applies to chargeable weight and whether it is all-in. Attach any supporting documents, for example if you have proof from the airline that this rate has been negotiated beforehand. Then click Add.

This SPOT rate should now appear at the bottom of the chosen airlines results highlighted in green and showing the name chosen within the Product box. You’ll be able to see the added rates for the weight breaks and by hovering over the ‘i’ symbol, you’ll get a breakdown of the information entered such as which user added the rate, the validation period and any information about surcharges and internal notes.

Click the rubbish can symbol to delete the spot rate, the pencil and paper symbol to edit, and if you want to use it for a quote tick the box then follow the normal quote process.

The second way to add a spot rate is directly to the search results for a specific airline and GSA, you can do this by finding the relevant rate from the results. Then, click on the + symbol in order to add the rate.

The airline name and GSA should automatically be added. You’ll need to add the rest of the details as you had above. Enter your weight breaks, any surcharge information and also any supporting documents and click Add.

The spot rate should now appear on top of the static rates. In order to choose this rate for quoting, select the box to the right-hand side and follow the quote creation process.
