How to add new users to WebContractor (Subcontractors)

Creating new user accounts for your colleagues - subcontractors only

You may find from time to time that you need to set up new users from your company on WebContractor, whether that be because someone is leaving, your company is growing in size and the number of applications to submits, or the contractor(s) you work with on the portal are setting up more subcontract orders. This article will guide you through how to set you colleagues up.

Prerequisites - what do you need before you get started?

  • The user's email address. Please note that each user must have a different email address. If you have a situation where the email you are trying to use is already in use, please contact our support team

  • Check your account type, you'll need to make sure your account is set up as a 'Subcontractor Admin'. Your account type will be under your name in the top right hand corner of the screen:

  • Finally, although not strictly necessary, you'll the first and last name for the account you wish to add.

Adding a new user

Once you login to WebContractor, you will first need to navigate to your companies page. To do this click on the subcontractors link on sidebar on the left side of the page:

Then click on your company's record:

On the page that opens you'll need to hover your mouse cursor over the light blue actions button in the top right hand corner of the screen and select the option to "Add User":

This will open a menu for you to input the details of the new user:

All fields marked with a red asterisk are mandatory, and you won't be able to save and create the new user without filling them in.

For simplicity we recommend making the username the same as the email address, although at then end of the day this is up to you. User's can also change their username later if they wish to.

We also recommend setting the Role field as 'Subcontractor Admin', which is also the first option on the drop-down list. This is as this role will allow the user access to all the main functions of WebContractor, including uploading applications for payment and invoices, submitting insurance documents, signing self-billing agreements etc.

What happens next?

When you click save an email will be send to the email address entered with their username, and a randomly generated password. You're new user can keep the password we send - it won't expire - however if you do want to change your password to something more memorable, please refer to this article on updating your WebContractor password.
