Once your import has run, two key system fields are updated: Organisation Created by and Organisation Updated by. These fields carry important information showing who created and updated each Organisation and are automatically updated and stored by the system.

Of course, if you created/updated other module data, then these will have their own Created by and Updated by fields, also auto populated.

When records are updated in the usual way by a User, these fields display the User’s name. However when created or updated by an import, the data in these fields is formatted like this:

The above field is showing that the Organisation was created or updated by an import, with date, time and User initials showing who ran the import. This value is unique and is identical for all records created or updated by the import. The time element is also identical for each record.

Deleting records created by an Import

You can use the Created by and Updated by fields to delete new data which you have imported. You need to do this using a Report.

You should create (or edit) a Report to identify the records by setting the options appropriately in the Data filter tab. In the Advanced tab you would select the Delete data option in the Special actions. You can only complete this action if you have suitable Access level permissions.

WARNING: You can easily remove new records that you created by Data import, using the above steps. However, if you updated existing records with a Data import, you cannot delete the updates you made.

Import Relations

If you want to create a lot of Relations at the same time, you can import them from a spreadsheet. You need to create a spreadsheet for each Relation type you want to import.

The spreadsheet should contain the Organisation from which the Relation is to be created, the Person’s name (if it is a Person Relation) the Relation type (Organisation-Organisation, Organisation-Person, Person-Person or linked Organisations), the Relation (as a number from the drop down list), a Comment field, the Relation create date and time, the target Organisations and optionally a Person.

The Organisations and Persons should exist in webCRM prior to the creation of Relations. Organisation and Person names should exactly match the records in webCRM.

To import the data, browse to Configuration → Data import and upload the file in CSV format.
