System settings: Drop down lists

This section of the Configuration enables you to customise the Drop down list options of system fields, throughout webCRM.

You can view the Drop down lists configuration by browsing to Configuration → Drop down lists.bYou can select each module by clicking the tabs across the top, for example, Organisations:


Editing Drop down lists

If you're setting up a new system and you do not have live Data in the system, then you can amend and configure Drop down lists as you would like them. For instance, you can replace 'Customer' with 'Client', as shown below.

Click Save to update your changes.

WARNING: if you have existing live Data in the system then editing Drop down lists could affect your Data


Adding new options to a Drop down list

This is safe to do, and the new option will become available in the Drop down list after you click Save.

NOTE: You can add a new option into the list wherever you choose, and this will not affect your live Data. This is useful if you wish to display the options alphabetically, or apply some other logic to the order.


Amending existing options in a Drop down list

WARNING: if you have existing live Data in the system then editing Drop down lists could affect your Data.

If, for example, the option is misspelled, you want to add capitalisation or you want to change a word/phrase completely then you must follows these steps to protect your live Data:

  1. Add the corrected option to the Drop down list as a new option (do not overwrite the incorrect option) and click Save.

  2. Create a Report to find all current Data with the incorrect option in that field.

  3. Use the Advance function: mass modify to update all those Records with the new, correct option.

  4. Remove the incorrect option from the Drop down list.
