Working with Custom fields

When you create a Custom field you must specify a number of options:

Type

There are 9 field types to choose from, and you need to think carefully about which type you select because this cannot be changed once Data is input to the system, without loss of Data.

WARNING: if you have existing live data in the system then editing Custom fields could affect your data


Position

The Position allows you to specify the order in which the fields should be displayed onscreen. This means that you do not need to create the Custom fields in order.

If you select the Position with a prefix of ‘Hide’ then only Users with permission to view and/or edit Hidden fields will be able to see this field. This is useful because you can specify a display order of mixed ‘hidden’ and ‘standard’ fields to provide a logical order for those Users that can see both.

Label above
The second Drop down in the Position column allows you to specify a space, divider or label above the current field. If you select a label text colour, you must specify the label text.

Field label
This is the name of the field. We recommend you only include alphanumeric characters.

Label text
The box underneath the Field label should be used to specify label text. You must also select a label text colour.


Mode

Standard custom fields
The default mode for a Custom field is standard. This means that all Users can view and edit the field (but only on records they have permission to access) and the field is optional to complete.

Mandatory custom fields
If you set a Custom field as mandatory then it must be populated when you click Save or you will see a message warning you that changes cannot be saved without this field being populated.

For Drop down lists the Mandatory option will consider a value with only ”-” characters as being blank. A numeric (integer) value of 0 and an unchecked Checkbox is also considered as being blank.

Read only Custom fields
A field can be set as read-only. This is useful if it is being updated by the API or an Auto update, for example. It is possible to import Data to a Read-only field so that Data is visible to Users but cannot be amended or removed.

Hidden custom fields
These are completely hidden from all Users, and are normally only used with the API.


Instructions

In this section you must specify the field parameters for the chosen Custom field type.


ID

This is for information only, and cannot be edited by any User. If you are using the API or Website Integration you need to know this ID for mapping to a specific field.
