View and analyze data created or updated via webCRM's forms.

Once your forms are in use, you can examine each submission individually and and collect statistics showing how many views and submissions you have from each form.

You can access your forms under utilitiesforms, where you can choose to get a detailed overview and workspace for each form, or to go directly to the statistics.

Submissions

Under submitted forms, you have an overview of each submission. Here you can examine the details of each form submitted.

Updated/Created

There are two types of processes associated with handling data from forms:

  • Forms processed automatically, e.g., unsubscribing from a newsletter.

  • Forms that require approval first, e.g., if a form from a website is submitted.

When automatic forms are submitted, you can see if the data has been created as new or updated. Data is updated if a match on something already existing is found - this could include a match on the organization name.

Each submission is marked either with green for creation or blue for update.

You can also see exactly which form has been submitted, along with which data.

If you need further information about what has been created or updated, you can click on it to be taken directly there. The log ensures that all submissions are recorded, so you can always see what changes have been made and when.

Sorting on status

Open the drop down list to sort your forms based on their status:

  • All - except rejected

  • All, including rejected

  • Pending - all forms not yet processed

  • Unprocessed - all forms pending or failed

  • Processed - all processed

  • Failed - all failed

  • Rejected - all rejected

Processing

When a form is not created manually, it has to be processed either by being approved or rejected. When new forms come in, either failed or requiring approval, you will receive a notification in the top right corner.

From there, you can go directly to the unprocessed forms and review them individually, or you can batch process them by clicking select all displayed.

All forms will be marked by default. Press clear selected to remove all markings at once.


Statistics

Under statistics, you have the option to view the overall figures for all your forms, or you can click on each individual form to isolate it from the others.

When you enter the page, the statistics from all of your forms will be collected in the graph by default. However, you can click on each graph to isolate the numbers from there.

Time

Select a specific date interval for viewing forms, or use the dropdown list to divide them into days, months, quarters, or years.

Interaction

The forms track interaction based on three parameters:

  • Views

    The actual number of times the form has been opened, regardless of whether it was submitted or not.

  • Submissions

    The submitted forms show how many that actually submitted the form. If a person has submitted the form more than once, it is also included in the numbers.

  • Success rate

    The percentage of submitted forms out of all views.
