Trigger Type: Entity Time

With Entity time, you can create automatic flows triggered by a date field, such as an activity deadline, or when something is created or updated. The flow monitors the date and is triggered either at the specified time or can be delayed by a specified number of seconds, minutes, days, or months after the given date.

Email Reminder for Overdue Activity

In time-critical situations like lead handling, it is crucial to respond quickly. Set up an automatic email reminder containing essential information, so the salesperson can act quickly and efficiently, whether they are on the go or working in webCRM.


Setup

Go to UtilitiesAutomation Create → choose the trigger type Entity time.

Tip! 💡Use descriptive names for your automations and all steps for better overview.

Trigger

1. Set the Entity type to Activity.

2. Choose Date and hour.

Tip! 💡Click on (cogwheel) to delay the flow by, for example, 2 days from the activity's deadline.

Note! To retain the original deadline when the flow starts, choose Keep original value.

Action - Condition

3. Click to insert a condition.

4. Name the step. The system automatically assigns a default name based on the step, but for better overview, it is recommended to provide a descriptive name yourself.

5. Choose Activity/Action in the data field → set Criteria to equal → set Match value to Contact lead.

Note! Actions are custom drop-down lists. The values on your action list may therefore be different - in that case, choose the desired value available on your list. Read more about drop-down lists here.

6. Avoid including any closed activities by adding an (and) criterion.

7. Choose Activity/Status in the data field → set criteria to Not equal → set Match value to Complete.

Action - Send Email

8. Click to insert the action Send email.

9. Name the step (optionally).

10. Insert the sender's email address.

Note! The sender address must be set up in webCRM's mail and calendar integration.

11. Set the Activity Responsible as the recipient.

12. Choose the entity type Activity.

13. Make sure that Entity ID is set to Activity / System ID to ensure it is the correct activity.

14. Create the email reminder using either the Editor or a Template.

14.1 Use template: Choose an existing template from the drop-down list.

Note! Update or create new templates under UtilitiesTemplatesEmail templates Create.

14.2 Use editor: Insert email subject → write text content → use merge fields to include information from the activity.

💡Tip! The advantage of using the editor is that you can quickly create and edit emails in your automation without prior setup. Templates, on the other hand, offer more design options and allow you to insert forms or landing pages in the email.


Ideas for Flow Extentions

Book Meetings

Create a manual trigger that automatically sends a meeting booking form to the customer. The customer can choose dates and times for a meeting, which are updated directly in the salesperson's activity. When the form is submitted, the salesperson receives a notification.

Weekly Email with Overdue Activities

Schedule an automatic weekly email using the Schedule trigger, containing an overview of all overdue activities as an attachment. This ensures continuous follow-up and handling of important tasks.
