Once you have decided how to segment your people data, the next step is to getting it into shape to upload to your WeThrive account.
1. Ensure the employee data is available
First, you will need to audit your HR system to ensure the data you want to use is available and accurate.
2. Create your dataset using our Excel spreadsheet
We have produced a Microsoft Excel spreadsheet template called 'User Import Template' to help you format your data correctly and upload to your account.
Please complete each row of the spreadsheet with your staff's details. Below is an example of the data that needs to be added in each column. You can view an example set of data here.
Org employee ID (optional) | Provide your employee IDs from your HR system and this will make updating your dataset quicker in the future, including when email addresses need changing. This is optional - if not provided, the system will give the user a WeThrive ID |
Email address | Provide employee email addresses to send surveys and invites to |
Name | Employee first and last name |
Role | This is a user's level of access to the WeThrive platform. The options are:

Reports to | Assign employees to the right manager bubbles. Here you will need to add in the full reporting line for example, the line manager and the senior manager that needs visibility of the line manager's team underneath them. Only users who have been given the Role of Manager Bubble can be added to this column |
Active | 'Yes' if they are an active employee, 'No' if they have left and need to be deactivated in the system. |
Can view comments | This column is only relevant for manager bubble users and allows you add 'Yes' or 'No' to determine their access to their team's survey comments. All employee bubble users can be set to 'Yes'. |
Filters | Choose up to 12 ways to segment your employee data e.g. team, location, SLT leader, manager, or demographics such as gender, age category etc. |
Please note you may need some additional licenses to set up bubbles.
3. Upload your people data to WeThrive
Once you have completed your staff details and saved the spreadsheet, it's time to upload your data to your WeThrive account.
Please follow the steps below:
Go to the People menu heading.
Click Import.
Click the link to Import via Excel.
Click the Choose File link and search for your Excel spreadsheet.
Once selected, click the Upload button.
Your file will be uploaded for processing and an email notification will be received shortly after to confirm if the upload was successful.
To check your people data has been uploaded correctly, go back to your People table under the People menu heading.
