How to filter, group and export the responses for custom questions added to engagement surveys

Who is this article for?

Administrators

If you added some of your own custom questions to the end of your engagement survey, you can download the results into an spreadsheet. Before you download, you can chose how to group and filter the results. The below steps explain how to choose your segmentation options and how to export the results.

Group & filter custom question results

Before downloading your custom question responses, you can first choose how to group the data - compare different segments side by side. You can also apply a filter if you'd only like to see the results for a particular group of employees.

  1. Go to Settings in the right hand corner of your account (cog icons).

  2. Click the Export tab.

  3. From the Survey: drop down, select the engagement survey you'd like to export the custom question results for.

  4. Underneath the 'Custom Questions Export' heading (shown below), use the Group data by drop down to choose which segments of employees you'd like to compare side by side e.g. select 'Team' to view a breakdown of the results for your different teams.

  5. You'll then find your filter options - use the drop down options to select a particular group if you would only like to download the results for that particular group.

Example

In the example shown below, the Location - Bristol has been selected from the filter options.

We have grouped the data by Team.

This means when we export the results, we will see:

  • The overall results for the Bristol location followed by a breakdown of the different teams within the Bristol location only.

What will the results look like in my spreadsheet export?

  • Your custom questions will be listed on the left hand side in the same order they were asked within the survey.

  • The Overall results will appear in the next column, displaying the total/average responses for the group you are viewing.

  • This is followed by a breakdown of the different segments that you've chosen to compare using your 'Group data by' drop down. These groupings will appear side by side - see example in green box above.

How does anonymity work?

  • For anonymous survey results, any segments of employees with less than 4 completions will not appear as their own columns but still contribute to the overall scores (this works in exactly the same way as the engagement results available online).

  • When surveys are run non-anonymously, comments are only available to view at a group-level e.g. organised by Team, Location, Department etc.
