Creating card templates

Creating content that’s consistent in structure and style is key to building a high-quality knowledge base. With Card Templates in Whale, you can define reusable formats that standardize how policies, FAQs, procedures, and more are created. This ensures that everyone — from subject matter experts to occasional contributors — builds content that fits your organization’s tone and structure.

Card templates help:

How to Create a Card Template

Step 1: Go to Workspace Settings

  • Click on your profile icon

  • Navigate to Workspace Settings

  • Select Card Templates from the menu

Step 2: Add a New Template

  • Click “Add Template”

  • A pop-up will appear where you can:

    • 🏷️ Set a template title (e.g., Policy Format, FAQ Template)

    • 📄 Build out the structure using the card editor — include headings, placeholder text, bullet points, etc.

    • 🏷️ Add tags to categorize the template for easy discovery

    • 📤 Publish the template when you’re ready for your team to start using it


Managing Templates

In the Card Templates overview, you can:

  • ✏️ Edit an existing template

  • 🗑️ Delete a template that’s no longer needed

Just hover over the three-dot menu next to a template to access these options.


Using a Card Template

Whenever someone creates a new card, published templates will appear at the top of the creation screen. Writers can simply:

  1. Select a template

  2. Fill in their content

  3. Maintain consistent formatting without starting from scratch


Example Use Case

You want all internal policies to follow a standard format. You create a card template titled Company Policy Template with structured headings like:

  • Purpose

  • Scope

  • Policy Details

  • Responsible Department

Now, whenever a new policy card is created, it follows this structure — no extra formatting needed.
