Setting a review interval and expert for playbooks

Keeping your content up to date is one of the most important steps to maintaining a reliable knowledge base. In Whale, you can set review intervals for playbooks and assign experts to ensure Standard Operating Procedures (SOPs), policies, and training materials stay accurate and actionable over time.

By setting content reviews, your team ensures documentation is never forgotten, ownership is distributed effectively, and continuous improvement becomes part of your workflow.

🛠 How to set review intervals for playbooks

Step 1: Open your playbook settings

You can set a review interval when:

  • Creating a new playbook

  • Or editing an existing one by clicking the three-dot menu next to the playbook title in the library view and choosing Edit

Step 2: Assign a playbook expert

In the pop-up:

  • Choose an expert who is responsible for reviewing and updating the content

  • Set a review interval (e.g., every 3 months, 6 months, etc.)

🧠 Only experts will receive reminders to review playbooks they’re assigned to.


📅 Where to track upcoming reviews

Option 1: Your dashboard

Navigate to the Home screen and select the Reviews tab to see:

  • What’s coming up for review

  • Which playbooks you’re responsible for

Option 2: Analytics overview

For a more detailed view:

  • Go to the Analytics tab

  • Select the Experts section

  • Here, you’ll find a full list of playbooks, assigned experts, and upcoming review dates

  • Sales Team: Have the sales enablement manager review the Sales Onboarding playbook every 6 months to keep workflows up to date.
