Exporting your Playbooks and Cards to PDF can be useful for various reasons—whether you need offline access, want to share printed materials during a training session, or are preparing documentation for compliance purposes. With Whale’s export options, you can easily generate PDFs that match your company’s branding and include useful metadata.

📥 How to Export a Playbook or Card

Option 1: Export directly from a Playbook or Card

Step 1:

  • Click the blue Share button next to the playbook title or click the pink Share button on the top right of your card

Step 2:

  • At the bottom of the pop-up window, click Export to PDF.

Step 3:

  • Download, print, or save the file to your hard drive.


Option 2: Export multiple items from Workspace Settings

Step 1:

  • Go to Workspace Settings.

Step 2:

  • Select Export to PDF from the side menu.

Step 3:

  • Choose your desired

    • Board

    • Library

    • Playbook or specific Cards

Step 4:

  • Customize your export options (see below) and download the PDF.


⚙️ Export Options

When exporting, you can tailor the PDF output with the following settings:

  • Text Watermark: Add a diagonal watermark like Confidential or Internal Use Only.

  • Watermark Logo: Automatically insert your company’s watermark logo from the branding settings.

  • Author & Date Info: Include who created the content and when it was last updated.

  • Header Template: Brand your PDF with a custom header (set in branding settings).

  • File Naming: Choose a clear and descriptive file name before saving.
