Working with Templates

Whippet Notes allows you to create and customise templates to tailor your clinical documentation to your practice's specific needs. With our custom template builder, you can design templates that match your workflow and documentation style.

Creating Custom Templates

Getting Started

  1. Navigate to the "Template Builder" in the left menu

  2. Click "Create New Template"

  3. Choose to start with an existing template structure (recommended) or create a blank template

  4. Enter a name and description for your template

  5. Build your template using the elements below

  6. Save and preview how your template will appear with a recent consult

Template Building Elements

Your custom template can include three main components:

1. Section Headings

Create structure in your notes by adding headings and sections in plain text or as formatted headings.

Example:

Subjective Objective Assessment Plan

2. Placeholders

Use square brackets [ ] to create areas that Whippet will attempt to fill with relevant information from the consultation.

Examples:

  • [Default to "soft, pain free on palpation, no mass effect or fluid wave evident" unless abnormal]

  • [List medications used, including drug names and dosages. If none used, write "None administered"]

  • [Enter date in DD/MM/YYYY format. If not specified in the notes, write "Not specified"]

3. Instructions

Use round brackets ( ) to provide specific instructions on how Whippet should handle information that may or may not be mentioned in your consultation.

Example: (Only include if explicitly mentioned in the transcript, contextual notes or clinical note, otherwise leave blank.)

Advanced Template Tips

  • Be Specific: The more specific your placeholders and instructions, the better your results will be

  • AI Instructions: For complex templates, add specific AI instructions at the end referencing particular sections

  • Preview: Always use the preview function to test your template before saving

  • Iteration: Template building often improves with refinement based on results


Managing Your Templates

Setting a Default Template

To make a template your default for future consults:

  1. Navigate to Settings > Templates

  2. Select your preferred template from the dropdown menu

  3. Click "Set Default Template"

Using Templates During Consults

Desktop Recording: When recording a consult via desktop, you can choose which template you'd like for your notes.

Regenerating with Different Templates: If you want to regenerate notes using a different template:

  1. Go to the Actions menu

  2. Select "Select a new template"

  3. Your notes will appear alongside your original template for comparison

Template Selection

You can select templates from:

  • Practice section: Templates you've created or added to your practice account

  • Template selection: Available when starting a new consult or regenerating notes

Template Formats and Options

Templates can be customised with various formats and default values:

  • Bullet point formats for structured documentation

  • Differential diagnosis (DDx) layouts for clinical assessment

  • Default values such as "Not Mentioned," "NAD," or "WNL"

  • Custom sections tailored to your specialty or practice needs
