Inviting colleagues

To bring a colleague into your practice on Whippet Notes, send them an invitation by email from the Invite Users page. All you enter is an email address — there's no name, role, or message to fill in; Whippet handles the rest.

How to invite a colleague

  1. Open Settings from the dashboard and click Invite Users in the settings menu.

  2. In the Invite Team Members panel, type your colleague's email address. The invite goes to whatever address you type, so double-check it first.

  3. Click Invite. Your colleague receives the invitation at that address.

Inviting several people at once

Click Add another to add a fresh email field below, then click Invite on each row. Each row sends independently, so if one address fails the others are unaffected. To remove a row you've added by mistake, click the small bin (delete) button beside it — it only appears once you have more than one row.

Seeing and managing pending invites

The Invite Users page is just for sending. To see who you've invited but who hasn't joined yet, go to the Users page in Settings, where a Pending Invites list shows each invited email with a Pending badge. To cancel an invitation, open the menu next to a pending invite, choose Cancel invite, and confirm — once cancelled, that person needs a fresh invite to join.

Once a colleague accepts, they move out of Pending Invites and into your Practice Users list, with their name, email, and role. See Managing your team in Settings for what you can do from there.

If something goes wrong

  • The Invite button is greyed out. It stays disabled until you've typed an email address, and while an invite is sending (Sending...). Add an address, or wait for the send to finish.

  • A row shows Invited and is locked. That invite has already been sent successfully — the field and button for that row are disabled on purpose. Use Add another to invite someone else.

  • A red message appears under a row. That invite didn't send. Check the email address is spelled correctly and try again. If it keeps failing, the person may already be in your practice or already have a pending invite — check the Pending Invites and Practice Users lists on the Users page.

What this doesn't do (yet)

  • Resend an invite. There's no resend button — cancel the pending invite on the Users page and send a new one.

  • Set a role while inviting. This page only takes an email address; roles are handled separately on the Users page.

  • Cancel an invite from this page. Cancelling lives on the Users page, not here.
