Exporting Contacts from Whippy

Export all contacts or export the current Contacts view after searching, filtering, and adjusting table columns.

Written by Maria Cairns

Why it matters

Exports let teams work with contact data outside Whippy for reporting, reconciliation, enrichment, and operational review. Choosing the right export keeps the file focused and reduces cleanup later.

Key Concepts

Export all: Exports the full contact dataset available to the user.

Export view: Exports the current table view, including the active search, filters, and visible columns where supported.

Filtered contacts: Contacts narrowed by Search, the Filter builder, tags, lists, segments, object data, or other available conditions.

Column settings: Controls used to choose which fields are visible in the Contacts table before exporting a view.

Step-by-Step: Export contacts

  1. Open Contacts from the main sidebar.

  2. Select All contacts.

  3. Use Search or Filter if you only need a subset of contacts.

  4. Adjust the table columns if the export should match the current view.

  5. Select Export.

  6. Choose Export all for the full contact dataset or Export view for the current view.

  7. Wait for the export to complete, then open the downloaded file.

Tips and Best Practices

  • Use Export view when you have already filtered to the audience you need.

  • Check visible columns before exporting if the file is for a stakeholder or another system.

  • Save frequently used filters as segments so future exports can be repeated more reliably.

  • Confirm permission requirements if a user can view contacts but cannot export them.

Troubleshooting

Issue

Possible Cause

Fix

The export contains too many contacts

Export all was selected instead of Export view

Apply the search or filters again and choose Export view

Expected fields are missing

The fields are hidden from the current view or unavailable to the user

Review column settings and permissions, then export again

The export button is unavailable

The user may not have the required role permissions

Review the role in Settings > Users > Roles
