Users Settings in Whippy

Manage user accounts, roles, and invitations for your organisation.

Why it matters

The Users settings control who can access your organisation in Whippy, what permissions they have, and which channels they can use. Keeping these settings organised ensures the right people have the right level of access, improves security, and maintains a clean administrative structure.

Key Concepts

Users: All active members of your organisation.

Roles: Permission sets that define what each user can do in Whippy.

Invites: Pending or expired invitations sent to new users.

Channel Access: Determines which channels a user can view and operate.

MFA Status: Indicates whether a user has multi-factor authentication enabled.

Step-by-Step: Manage User Settings

  1. Open Users Settings

    • Go to Settings → Organisation Settings → Users.

    • The Users section has three tabs: Users, Roles, and Invites.

Users Tab

  1. View and search users

    • See all users in your organisation along with:

      • Profile picture

      • Name

      • Email

      • Assigned roles

      • MFA status

      • Channel access

      • Actions menu

    • Use the search bar to find users by name or email.

    • Apply quick or advanced filters to refine the user list.

  2. Invite new users

    • Click Invite users in the top right corner.

    • Enter the user’s email address.

    • Select the channels the user should have access to.

    • Click Invite user to send the invitation.

  3. Manage user channel access

    • Open the Actions menu (three vertical dots) beside a user.

    • Options include:

      • Permissions (view full permission details)

      • Make admin

      • Remove from channel

      • Disable user

    • Channel access can be modified based on your role and permissions.

  4. Copy user email

    • Hover over the user’s email to display the copy option.

Roles Tab

  1. View existing roles

    • See all roles with details including:

      • Role name

      • Status

      • Created and updated timestamps

      • Creator and last editor

    • Sort or filter roles as needed.

  2. Create a new role

    • Click Create role.

    • Enter a role name.

    • Choose permissions across categories such as:

      • Channels

      • Contacts

      • API keys

      • Webhooks

      • AI agents

      • Campaigns

      • Custom data and reports

      • Sequences, templates, tags, teams, users, and more

    • Click Save changes to create the role.

  3. Edit or delete a role

    • Open the Actions menu beside a role.

    • Choose Edit to adjust permissions, or Delete to remove the role.

    • When editing, modify the role name or permissions, then click Save changes.

Invites Tab

  1. View user invitations

    • See all pending, active, or expired invitations.

    • Columns include:

      • Email

      • Channel access

      • Assigned roles

      • Date invited

      • Expiry status

      • Actions menu

  2. Manage invitations

  • Use the Actions menu to:

    • Resend invite

    • Cancel invite

Search and filter invitations

  • Use search, filters, and sorting options to manage large invitation lists.

Tips and Best Practices

  • Assign roles instead of customising permissions user-by-user; this keeps permissions consistent.

  • Regularly review MFA status to ensure organisation-wide security.

  • Disable users who no longer need access instead of deleting them immediately.

  • Use descriptive role names (for example, Support Manager, Sales Rep) to make permissions clear.

  • Before deleting a role, verify that no active users depend on that role.
