Why it matters

Templates allow teams to send consistent, approved messages quickly. Centralised template settings ensure messages are easy to manage and compliant, especially for channels like WhatsApp that require approval.

Key Concepts

Template: A pre-written message that can be reused across conversations.

Template type: The channel the template is designed for, such as SMS or WhatsApp.

Template status: The approval state of a template, applicable to WhatsApp templates.

Permissions level: Controls who can access and use a template.

File importer: A tool for bulk importing templates from supported file formats.

Step-by-Step: Manage Templates

  1. Open Settings in Whippy.

  2. Navigate to Organisation settings and click Templates.

  3. Review the list of existing templates for your organisation.

  4. Check template details, including name, type, description, creator, last updated date, and status.

  5. Use the search bar to Search templates.

  6. Apply filters or sorting to refine the list.

  7. Click the More options (three vertical dots) to edit or delete a template.

  8. To import templates, click Import templates in the top-right corner.

  9. Upload a supported file (.csv, .tsv, .txt, .xls, .xlsx, or .xml) or manually enter data in the importer grid.

  10. To create a new template, click Add template.

  11. Select the Template type (SMS or WhatsApp), then click Next.

  12. Configure the template details, including name, message content, permissions, and optional settings such as review requests or scheduling.

  13. Save the template.

Tips and Best Practices

  • Use clear, descriptive template names so they are easy to find.

  • Review WhatsApp template statuses regularly to track Meta approval.

  • Limit permissions to avoid unintended edits.

  • Use the importer for bulk template creation or updates.
