Overview
The Reviews tab in Wipster is your central hub for managing all review links — the shareable URLs and private emails you send to stakeholders so they can view, comment on, and approve your media. From here you can edit existing reviews, manage the media and reviewers on each review, and control access settings.
A key best practice is to treat each review share as a living link: rather than creating a new URL or sending a new email for every revision cycle, update the media on an existing review so that stakeholders always use the same URL and see the latest content without needing a new link or email.
Note: the Reviews tab, similar to the Dashboard, is not available to Limited users due to the visibility across all folders in both of these tabs.
Navigating the Reviews Tab
Go to Reviews in the top navigation bar. The Manage Reviews page displays a table of all review links your team has created, with the following columns:
Type — An icon indicating how the link was shared: a chain-link icon for a public URL share, or an envelope icon for an email invite.
Created date — The date and time the review was created.
Created by — The team member who created the review.
Message for reviewers — The custom message visible to reviewers when they open the link.
Media — The number of media items currently on the review.
Invited — The number of reviewers who have been directly invited by email. A dash (–) indicates a public URL share with no specific invitees.
Settings — Badges showing the current review type (Review, Approval, or Preview) and which permissions are enabled (e.g. Comments enabled, Downloads enabled).
Public link — A Copy link button, visible only on links that have a public URL. Use this to quickly copy the review URL.
Active — A toggle that controls whether the link is currently accessible to reviewers.
You can filter the table between All reviews (every review link across your team) and Created by me (only links you personally created).
Opening and Editing a Review Link
Click anywhere on a review link row to open the Edit review link panel on the right side of the screen. This panel is divided into several sections.
Active/Inactive Toggle
At the top of the Edit panel, a toggle shows whether the Review link is Active.
Active (green): Reviewers can access the review via this link.
Inactive (grey): The link is disabled and reviewers cannot access content. This does not affect the status of any approvals or reviews already completed.
Use this toggle to temporarily close access without deleting the link — for example, while you are updating the media between revision rounds.
Public URL Share
Below the toggle, the Public URL share section shows:
Who created the link and when (e.g. Created by Miley Rooker, 14 April 2026 12:24).
The shareable URL, truncated for display.
A Copy button to copy the full URL to your clipboard.
Best practice: Share this single URL with all stakeholders at the start of a project. As you update the media on the review, stakeholders can return to the same link to see the latest versions — no need to send a new URL each time you upload a revision.
Message to Reviewers
The Message to reviewers field contains the text shown to reviewers when they open the link. You can edit this message at any time.
Click inside the text field and make your changes.
Click Save to apply, or Cancel to discard.
Example message: "We invite you to explore the videos we've shared and provide feedback."
Best practice: use this let your reviewers know what changed since the last iteration (e.g. "replaced placeholder stock images with B-roll, please provide feedback").
Reviewers
The Reviewers section shows who has access to the review.
Public URL reviews
If the review was shared as a public URL, this section displays: "Anyone with this link can join the review." No specific invitees are listed.
Remember: anyone with a public URL can access the media held within, so consider adding a password when handling sensitive material.
Invited reviewers
If reviewers were invited by email, their names appear as tags (e.g. John Smith, Emily Davis, Michael Johnson). To remove a reviewer, click the × on their tag.
Inviting new reviewers
Use the Invite new reviewers field to add additional people:
Type an email address or start typing a name to find an existing contact. Alternatively, click on the add contact icon (person with a +) to select contacts from your Address Book
Select from the suggestions, or type a full email address (e.g. sam@flightstudio.com) and press Enter.
You may add multiple reviewers in the same field.
Click Send invite to send email invitations to all newly added reviewers.
Media
The Media section lists every video, image, pdf, or audio file currently on the review link. Each item shows a thumbnail, title, version badge, and upload date/time.
Changing the version shown to reviewers
Each media item on the review can be pinned to a specific version. Click the '...' (more options) menu on any media item to open a popover that shows:
Select version — A list of all available versions (V1, V2, V3, etc.) with radio buttons. The currently selected version has a filled green radio button. Select a different version to change what reviewers see.
View Media — Opens the media item directly.
Go to project folder — Navigates to the source folder in your Projects.
Remove media from review — Removes this item from the review link. The media is not deleted from your project.
Adding media
Click Add media at the bottom of the Media list to open the Manage media in this review dialog.
Manage media dialog
This dialog lets you browse your project folders and select media to add to or remove from the review.
The breadcrumb at the top shows your current location (e.g. Projects > Outdoor Adventure Group > April advertising videos). Use the < and > arrows or click a breadcrumb segment to navigate.
Each media item appears with a checkbox (for adding/removing the whole item) and shows the currently selected version badge and timestamp.
Items already on the review have a green checkbox.
For items with multiple versions, click the expand arrow (∨) to reveal all versions. Select a specific version using the radio buttons.
Click Update review to save your changes, or Cancel to exit without saving.
Best practice — keep the link alive: When a new version of a video is ready, use the ⋯ menu to switch the version shown on the review link, or use Manage media to swap out assets. Your stakeholders visit the same URL and immediately see the updated content. This avoids link proliferation and keeps feedback consolidated in one place.
Settings
The Settings section controls what reviewers can do when they access the link. Three modes are available via a segmented control:
Review
The default mode for gathering feedback. Best used for early iterations. Settings include:
Download — Toggle on to allow reviewers to download the media files.
Password — Toggle on to require a password before reviewers can access the content. You must set a password and send it to the stakeholder.
Approval
Used when you need a formal sign-off. Best used for the final stages. Settings include:
Commenting — Toggle on/off to determine if comments are allowed on the media.
Download — Toggle on to allow reviewers to download the media files.
Password — Toggle on to require a password before reviewers can access the content. You must set a password and send it to the stakeholder.
Note: once someone has been assigned as an approver for a specific version, they will not go back to being flagged as a reviewer. To remove the 'Approver' tag on a user, you must either remove that individual from the review or upload and share a new version.
Preview
A view-only mode suitable for presenting finished work. Best for FYI or delivery. Settings include:
Download — Toggle on/off (commenting is not available in Preview mode).
Password — Toggle on/off.
After changing any setting, click Save to apply. Click Cancel to discard unsaved changes.
Tip: Switch to Approval mode when you are ready for final sign-off. Reviewers will be presented with an approval action rather than an open-ended feedback interface. Switch back to Review if another round of revisions is needed.
Deleting a Review Link
At the bottom of the Edit panel, click Delete Review Link (red button) to permanently remove the link.
This action cannot be undone. Consider deactivating the link (using the Active toggle) instead if you may need to reuse it later.
Recommended Workflow: The Living Link
The most efficient way to manage stakeholder reviews across a project lifecycle is to maintain a single review link from kickoff to final approval:
Create one review link when you are ready to share the first draft. Add all relevant media and set the mode to Review. Decide whether you'd like to protect the media with a password and whether downloads should be enabled.
Share the URL once with all stakeholders. Store it in your project notes or communication thread.
Update media versions as revisions come in — use the '...' menu to switch to the latest version, or use Manage media to swap assets. Do not create a new URL. You will need to inform your stakeholders that new versions are available for them.
Note: if you'd like to stack internal and external facing versions, you can do so. Your reviewer will only have access to the versions you decide to add via this menu.
Switch to Approval mode when the work is ready for final sign-off.
Switch to Preview mode with downloads enabled for final delivery.
Deactivate or permanently delete the link once the project is complete and approvals are archived.
This approach keeps all feedback in one place, reduces stakeholder confusion from multiple URLs, and gives you a clear audit trail of the review history.
