Once a quote is sent to a customer, it locks so both sides are always looking at the same numbers. Use these options to revise, manually mark, or remove a quote instead of editing a sent one.
Before You Start
Plan/Package: Requires the CRM add-on. Quotes live within Deals, which aren't included with limited customer management.
An existing quote on the deal.
Steps
Open the deal and find the quote. A quote that hasn't been sent yet shows an Edit button. Once it's sent, its status changes from Draft to Sent and the Edit button is replaced by Update and clone.
To revise a sent quote: click Update and clone. This creates a copy of the original with a new quote number, which you can rename by clicking it. Edit the copy and send it when it's ready. Your customer won't see any changes until you send the new version.
To mark a quote as sent without emailing it from the portal (for example, if you sent it another way or went over the numbers by phone): click the three-dot menu next to Send email and select Mark as sent.
To make a copy of any quote: open the same three-dot menu and select Clone.
To remove a quote entirely (for example, a test or duplicate quote): open the three-dot menu, select Delete quote, and click the red Delete button to confirm.
Good to Know
The original quote stays untouched and viewable, which avoids any "my version says X, your version says Y" confusion with the customer.
Click View details on a sent quote to preview it again or download its PDF.
A single deal can hold multiple quote versions side-by-side (e.g., cash, finance, and lease).
This is for individual quotes. A whole deal can also be deleted from the three-dot menu next to its status dropdown, but only do that for a deal created by mistake. If a deal is lost or unqualified, move it to Closed - Lost or Closed - Unqualified instead so you keep a historical record (see How the Deals Pipeline Works: Stages and Views).
