Quotes are emailed directly from your own connected Outlook or Gmail account — not a generic company sub-domain — and the system notifies you the moment your customer opens it.
Before You Start
Plan/Package: Requires the CRM add-on. Email functionality isn't included with limited customer management.
Your Outlook or Gmail account must be connected.
At least one quote version exists on the deal.
Steps
From the quote, click Send Email. It automatically populates the customer's main point of contact — change or add contacts as needed.
Click Attach Quote to attach the quote to the email. It defaults to the version you currently have open, but you can choose a different version from the dropdown if you've created more than one for this deal.
Attach any other relevant files (e.g., a build sheet, window sticker, or spec sheet), if needed.
Write your message and send — it goes out from your own connected email address and lands in your own Sent folder.
Watch the quote's status update automatically: Draft → Sent → Viewed. Sending the email also automatically advances the deal from Working to Quoted in the pipeline. Moving the deal to Negotiating or Lost is a manual step. The deal moves to Agreed automatically when the customer accepts the quote.
Preview a Quote or Save It as a PDF
Before sending, click Preview quote at the top right of the quote builder to see the quote exactly as your customer will. Click Download PDF to save a copy. The PDF includes your dealership name and the customer's information, and a quote with more than one vehicle starts with a summary page for the whole quote, followed by a page for each vehicle showing what goes into its numbers. From the preview, click Done to go back to the deal, or Send Email to send the quote.
After a quote is sent, click View details on it to preview it again or download the PDF.
Good to Know
When the customer views the quote, you're notified two ways: a notification bell at the top of the screen, and an email letting you know it was viewed.
Customers see a read-only version of the quote. They can review vehicles, pricing, and any trade or discount details, but can't see your dealer cost or gross, and can't select finance/lease terms themselves.
Customers can click Accept quote on the quote you send. Accepting moves the deal to Agreed in the pipeline.
Replies come back into your normal inbox — the portal doesn't intercept your email. The replies are also pulled into the customer's Activity log, so the whole conversation stays on the record.
Only Gmail and Outlook accounts can be connected.
There's no built-in email template feature in the portal today; templates would need to be managed through your own Outlook or Gmail client.
