Disabling Form I-9, W4, W9

How can I disable Form I-9, W4, W9?

Disabling the Form I-9, W4, W9 can be done very easily within the workbright system.

It is important to note if you disable a form, employees in that employment type will no longer receive it.

How employment types work

• Employee/W-2 → Assigns both the W-4 and Form I-9

• Contractor/1099 → Assigns the W-9

• Other → Assigns none of these forms

If you want the form to remain available but don’t need it for certain employees, assign those employees to the “Other” employment type.

It’s also important to note that the W-4 and I-9 are tied together under the Employee/W-2 type. That means if an employee needs only one of those forms (for example, the I-9 but not the W-4), they will still be assigned both as long if both forms remain active

Now that we have clarified what disabling means lets look into how we can disable these forms.

Navigate to the Onboarding screen via the navigation bar.

Once there, you will go to the sidebar on the left side of the screen and select “Forms”.

Now that you are on the Forms page you can scroll or use the search function to pull up your form (Form I-9, W4, W9).

For this example lets edit the W4.

Once you have found or pulled up via search the w4, hover over the far right end of the w4 and a dropdown will appear. From that drop down select “Edit”.

This will take you to a new page Where you can edit the from.

In the first section you will see a checkbox with Enabled next to that. The checkbox should be text and filled in with blue. This indicates that the form is currently enabled.

Click this check box to remove the check and blue fill, this will indicate taht you have now Disabled the form.

Now that you have disabled the form go to the bottom of the page and click save to confirm this update.

Once saved you will br brought back to the main Forms page. At the top of the page you will see a pop up to confirm your update.

You will also see an indication on the row next to the form title labled “Disabled”.

To enable the form again follow the same steps making sure that your checkbox is checked in the Enabled section.

This will be the same step you would also use for the W9 and the Form I-9.

Note: the Form I-9 will have more functionality that can be edited but the principle functionality to disable will be the same on all of the forms.

There you have it. You now know how you can disable the W4, W9, or Form I-9 if needed.
